Position Job Title: Marketing & Events Coordinator

Location: Campus Support – Head Office, New Westminster

In person full-time: Monday-Friday. 8 am-5 pm

Reports To: Manager, Marketing

Salary: $55,000

Job Summary

The purpose of the Marketing & Events Coordinator is to support the Company’s marketing initiatives, events, campus experience, and processes. Under the direct supervision of the Marketing Manager, the Marketing & Events Coordinator is responsible for assisting with all aspects of the marketing department’s programs.

The Marketing & Events Coordinator plays a key role in bringing our brands to life through events and other marketing support for our campuses. This role is responsible for communicating with vendors and stakeholders, planning and executing internal and external events, coordinating swag and print projects, and supporting day-to-day marketing operations.

Specific Responsibilities

The Marketing & Events Coordinator will, at various times, be responsible for the following, as well as other related duties as assigned to support the business objectives and purpose of the Company.

  • Event Planning & Execution
  • Plan, coordinate, and execute a calendar of internal events, including:
  • Campus open houses and info sessions
  • Virtual information sessions and industry speaker series
  • Other recruitment or engagement events as needed
  • Coordinate external events, including:
  • Career fairs, education fairs, and community outreach events
  • Working with host institutions or organizers on logistics, registration, and requirements
  • Manage event timelines, run sheets, and checklists; ensure all details are confirmed and clearly communicated
  • Collaborate with campus teams to determine event goals, audience, and messaging, and ensure each event aligns with marketing and recruitment objectives
  • Coordinate event promotion with the Marketing team (e.g., email invites, landing pages, social posts, posters, digital screens)
  • Oversee event-day setup and tear-down when needed; troubleshoot issues in real time and act as the central point of contact
  • Manage and moderate virtual events.
  • Track attendance/engagement, gather feedback, and provide post-event recaps and recommendations for improvement
  • Marketing Initiative Support
  • Liaise with vendors and suppliers to ensure the best prices and service
  • Manage and order swag for marketing events and initiatives
  • Maintain marketing collateral inventory and ordering for marketing initiatives
  • Maintain and book ads, including, but not limited to, print, radio, and outdoor advertising
  • Coordinate and book videographers and photographers
  • Maintain invoice and payment tracking, including following up on unpaid invoices
  • Contribute ideas to improve processes, tools, and templates for events and campus support
  • Record best practices and create new process documentation
  • Other related duties as assigned
  • Campus & Stakeholder Support
  • Serve as a primary point of contact for campus teams regarding marketing events, swag, and print materials.
  • Support internal stakeholders and act as a liaison to communicate marketing-related logistics for campus initiatives.
  • Collect and synthesize information related to new policy and procedure implementation
  • Track and follow up on the execution and progress of marketing initiatives
  • Collect data from campus employees to analyze the progress of promised action plans
  • Build strong working relationships with campus staff, vendors, community partners, and event organizers.

Position Requirements

To be successful in the Marketing & Events Coordinator position, individuals must be committed to developing, maintaining and demonstrating the following:

Education And Experience

  • Diploma or Degree from a recognized college or university in Marketing or Business
  • A minimum of 3 years of experience in marketing
  • The equivalent combination of education and experience will be considered
  • Experience with a CRM system and data analysis is an asset

Skills And Abilities

  • Advanced oral and written communication skills, including presentation and group facilitation.
  • High standards of behaviour, a professional attitude, and commitment to quality service.
  • Ability to work cooperatively with other staff.
  • Proven business acumen.
  • Ability to work independently with limited direction.
  • Excellent organizational skills with the ability to multi-task.
  • Ability to develop and maintain working relationships with outside vendors and organizations.
  • Excellent judgment, problem-solving skills, with the ability to make appropriate decisions under pressure.
  • Ability to exhibit a professional attitude and image with a commitment to quality service.
  • Thorough knowledge of Microsoft Excel and PowerPoint.
  • Experience using project management tools is an asset
