About The Role

The Waitlist Clerk is a pivotal administrative role responsible for managing the full lifecycle of patient referrals, specifically focusing on intake processing and systematic follow-up. This position ensures that all incoming referrals are captured accurately, routed to the appropriate specialists, and tracked through to resolution within established timelines. Ultimately, this role functions as a vital link within the healthcare system, ensuring seamless continuity of care and optimizing patient access to specialized medical services.

What You’ll Do

Reporting to the Manager, Provider Services Operations, you will:

  • Monitor incoming referral queues across all channels (fax, electronic, portal) and accurately capture patient and clinical data into the electronic system.
  • Respond to phone inquiries from patients, physicians, and MOAs regarding waitlist status, timelines, and referral requirements.
  • Identify and resolve referral deficiencies by proactively following up with referring offices to secure missing clinical information or results.
  • Participate in regular self and peer audits of referral data and workflows to verify accuracy, maintain high service quality, and ensure system integrity.
  • Communicate effectively in English both verbally and in writing, ensuring clarity and compassion in interactions.
  • Independently organize and prioritize your workload to manage multiple referrals and urgent tasks.
  • Investigate missing clinical information and troubleshoot referral pathways to prevent delays in care.
  • Collaborate with peers and referring practitioners to maintain positive working relationships and ensure deadlines are met.

What You’ll Bring To The Team

  • Completion of Grade 12 or High School Diploma.
  • Superior command of the English language, both written and verbal, to ensure clarity and accuracy in professional interactions.
  • Minimum typing speed of 45+ words per minute combined with excellent data entry skills and attention to detail.
  • Certificate in Office Administration, Medical Office Assistant, or equivalent field (preferred).
  • Previous administrative experience, ideally in medical or clinical environments (preferred).
  • Strong understanding of medical terminology; completion of a recognized Medical Terminology certificate or course is highly desirable.
  • Equivalent combinations of education, training, and experience will also be considered.

Technical Proficiency: Strong aptitude for learning and navigating digital systems, ensuring high-speed data entry with high accuracy.

Professional Communication: Excellent verbal and written skills to convey waitlist information clearly and compassionately to patients, physicians, and clinic staff. Ability to articulate complex information clearly and interpret verbal cues accurately during phone interactions.

Analytical Problem Solving: Ability to investigate missing clinical information and troubleshoot referral pathways to prevent delays in care.

Organizational Excellence: Exceptional time management skills to prioritize urgent tasks and manage multiple referrals simultaneously.

Collaboration & Teamwork: Cooperative mindset that supports peer quality audits and fosters positive working relationships with referring practitioners, MOAs, specialists, and administrative colleagues.

Autonomy & Independence: Capacity to work self-directedly, taking initiative to manage daily volume and meet processing deadlines with minimal supervision.
