Job Description

We are looking for a Senior Manager, Operational Excellence who shares our obsession with transparency and stewardship. In this role, you are not just an administrator; you are the guardian of our business health and the architect of trust between our clients and us. You ensure that every step of the media process—from the first dollar planned to the final invoice reconciled—is executed with precision, clarity, and integrity.

You will be responsible for the operational infrastructure of both our Montreal and Toronto offices. You will bridge the gap between our Media teams and Finance, ensuring our technology stack (Mediaocean/Prisma) is used not just for billing but also for business intelligence.

You will serve as a bilingual liaison between our Montreal and Toronto offices, ensuring consistency in the financial management of client accounts.

Your Responsibilities (What You Will Do Daily)

  • Stewardship & Optimization

Financial Integrity and the "Every Dollar Counts" Standard:

  • Transparent Billing: Oversee the end-to-end billing cycle with a zero-error mindset.
  • Precision Reconciliation (Prisma): Lead the monthly reconciliation process. You actively oversee teams in managing discrepancies between Prisma and ad servers (e.g., CM360) and put in place recommendations for policies and process to have our team adhere to clearance You will also explore new opportunities with the analytics team for business intelligence and reporting layers.
  • WIP & Revenue Management: Manage Work In Progress (WIP) and revenue recognition, ensuring that our internal financial health reflects the success we deliver to clients.
  • Operational Excellence And Tool Kit
  • System Mastery: Act as the agency's Subject Matter Expert for Mediaocean (Spectra/Aura) and Prisma. You will ensure these systems are configured to track "actuals," enabling real-time investment tracking accurately.
  • Process Optimization: Continuously audit our "Estimate-to-Pay" workflows. You will strip away inefficiencies and administrative bloat, ensuring our teams spend less time on manual entry and more time on client strategy. We expect you to make recommendations for operational excellence and new tools proactively.
  • Vendor Management: Manage the operational side of our partnerships, ensuring their costs are accurately passed through and audited.
  • Business Health & Client Compliance
  • Client Management: Partner with Account Leads to review client P&Ls and reports. You will flag when we are over-utilizing or under-utilizing resources to ensure a sustainable business model. You will also assist the team when it comes to discussions of scoping and support in validation based on past experience (burn rate analysis etc.)
  • Audit Readiness: Maintain files and processes in a state of "audit readiness" at all times, ensuring that if a client asks to see where their money went, we can show them down to the penny, instantly. You will work closely with finance to understand cash flow and the sequence of liabilities.

Your Assets (What You Bring)

  • Bilingualism: You have professional fluency in French and English (written and verbal), capable of navigating complex financial discussions in both the Montreal and Toronto markets.
  • Experience: 5+ years of experience in operational excellence at a media agency or media company
  • Experience in the creative, technology, or accounting/finance industry is mandatory.
  • Proven track record of improving margins and workflow efficiency.
  • Analytical Rigour: Proficiency in Excel (PivotTables, VLOOKUPs) and a comfort level with large datasets. Technical skills such as SQL and others are beneficial to the role not not necessary.
