Role Overview
You are the link that ensures the smooth flow of financial operations. As the Executive Assistant – Finance, you support the Vice President of Finance and the Finance team by coordinating activities, facilitating communication, and preparing essential documents. Your role is key to maintaining organization and accuracy in an environment where every detail matters. Role Overview

As the Executive Assistant – Finance, you support the Vice President of Finance and the Finance team by coordinating activities, facilitating communication, and preparing essential documents. Your role is key to maintaining organization and accuracy in an environment where every detail matters. Main Responsibilities
- Provide administrative support to the VP Finance / Chief Financial Officer and the Finance team.
- Organize and coordinate meetings, prepare agendas, and draft minutes, including for the Board of Directors and committees.
- Work closely with the Controller to coordinate the budgeting process with various departments and prepare the budget presentation.
- Manage renewals, claims, certificates, and clauses for insurance contracts (aviation, property, vehicles).
- Coordinate aircraft acquisitions and sales, including documentation and liaison with legal and insurance services.
- Ensure the management and archiving of key documents: contracts, agreements, permits, certificates, leases, purchase and sale agreements.
- Administer employee credit cards.
- Manage employee anniversaries (letters, gifts – inventory tracking and distribution).
- Maintain and renew government reports, certifications, and permits; process necessary applications or cancellations.
- Prepare presentations and participate in assigned projects.
- Contribute to special projects as needed.
- Prepare, process, and translate (if necessary) correspondence, documents, and reports.
- Take on additional responsibilities to support the success of the Finance department.
- College diploma or equivalent in a related field.
- Minimum of 5 years of experience in an administrative or coordination role, ideally in finance.
- Proficiency with Microsoft 365 tools (Word, Excel, PowerPoint, Outlook) and ease with collaborative platforms (Teams, SharePoint, etc.).
- Excellent organizational skills, attention to detail, and ability to manage multiple priorities.
- Ability to work with limited supervision and demonstrate initiative.
- Strong sense of confidentiality and discretion in handling sensitive information.
- Bilingual (French/English, spoken and written) required; ability to translate in both languages. Knowledge of Inuktitut is an asset.
- Familiarity with electronic document management and cloud environments.
- Comfortable with virtual communication and coordinating hybrid teams.
- Sensitivity to cultural diversity and openness to continuous learning.
