Job Summary
Reporting to the Manager, Operational Planning & Analysis, this position will oversee the administrative, procurement and locates teams. They will be dedicated to coordinating, processing and reviewing of all their tasks performed to ensure effectiveness and efficiency while looking at opportunities for continuous improvement. The successful candidate will leverage their technical knowledge and exceptional customer service skills to lead this team while liaising with various levels of staff, including senior leadership, to ensure efficient and effective processes and service

Job Summary

Duties and Responsibilities
- Provide direction to the team on a day-to-day basis while also developing and implementing new processes to improve operational efficiency and effectiveness; includes oversight of payroll processes, locations coordination, procurement planning and administrative processes.
- Lead documentation, monitoring and reviewing of all processes and supporting documentation; this includes collection and reporting of data related to these processes, services level and improvements
- Provide direction and leadership to the team; ensure administrative provisions of bylaws, schedules and policies are met division-wise while monitoring staff capacity and service level adherence.
- Responsible for the mentoring, development and delivery of training and assisting in learning development for all direct reports.
- Engage with technical staff to resolve and permit/application or other related issues.
- Responsible for oversight and specifications to create and execute contracts to complete locates as per OneCall Legislated Requirements. Provide staff with direction navigating contractor management, data management and acting as a liaison with OneCall and other utility partners.
- Provide direction and leadership in the facilitation and execution of all procurements supported by this position; review of all documentation produced and coordinate with Corporate as needed.
- Coordinate administrative processes related to permits, cemetery database entries, various divisional fee payments, locate requirements and any other work completed by the team.
Skills And Qualifications
- Undergraduate degree or other equivalent education/experience related to business administration and/or process management. Minimum 4-5 years of dedicated and formal supervisory experience.
- Excellent communication skills
- Demonstrated project management skills
- Data analysis skills to measure performance and opportunities for improvement; preference for Lean or equivalent business improvement certifications
- Experience completing process management from initiation to execution of a new or revised process
- Strong conflict resolution skills
- Ability to read and interpret legislation and related policy
- Demonstrated time management, organization and work planning skills
