Faculty Evaluation Coordinator, Human and Medical Sciences Divisions at NOSM University

Reporting to the Division Head, Human Sciences and Medical Sciences Divisions, the Faculty Evaluation Coordinator plays a critical role in ensuring the effectiveness and efficiency of faculty evaluation processes within NOSM U. The Coordinator is responsible for coordinating the evaluation cycle, including implementing evaluation tools, analyzing data and reporting results. The Coordinator collaborates with faculty members in the Human and Medical Sciences Divisions, and other stakeholders to administratively support and coordinate faculty evaluations. The Coordinator will also provide administrative support to the Division Head and to the Faculty in the Medical and Human Sciences Divisions.

Responsibilities

Tasks include but are not limited to the following:

  • Manages all general communications and correspondence and prepares replies on routine matters.
  • Acts as a first point of contact and initial triage for matters relating to Medical and Human Sciences Divisions and if unable to resolve the matter, directs or escalates inquiries or concerns appropriately.
  • Facilitates recruitment, appointments, reappointments, and promotion, for the stipendiary faculty in the Medical and Human Sciences Divisions by collecting and collating information, preparing correspondence, and managing documentation.
  • Maintains evaluation administrative workflows, coordinates evaluation tasks including data collection, data analysis, trend analysis, report production and dissemination and continues the evaluation workflow to completion.
  • Implements evaluation tools and systems, such as online evaluation platforms or standardized rubrics, to streamline the evaluation process and enhance data accuracy.
  • Provides guidance and support to Medical and Human Sciences faculty members and evaluators regarding evaluation procedures, criteria, and documentation requirements.
  • Supports the Division Head(s) with promptly dealing with evaluations to mitigate risk for the University.
  • Maintains records related to evaluations and provides related reports to the Division Head(s).
  • Conducts data analysis and generates comprehensive reports on Medical and Human Sciences faculty performance trends, strengths, areas for improvement, professional development needs, promotion and reappointment processes.
  • Participates in the UME Orientation delivering information sessions to Learners on NOSM U evaluation tools/systems and best practices in evaluation techniques.
  • Organizes, maintains and audits various Unit databases, online and hard copy files, faculty records, transcripts, and document libraries to ensure they meet accreditation standards and that information is accessible and accurate.
  • Provides administrative support to program scheduling, quality improvement, program evaluation and scholarly activity initiatives.
  • Assists in the collection and presentation of data for various reports, presentations and publications.
  • Monitors unit, faculty and/or program expenses and prepares/processes appropriate documents for submission to the Finance Unit (i.e. purchase card reconciliation, request for payment, purchase orders, budget transfers, faculty/speaker payments and honorariums, equipment orders, personal and program-related expense claims)
  • Schedules meetings, books rooms, and organizes video/teleconferences for unit or committee members, ensuring that all necessary arrangements are made. Committee support includes creation and distribution of agenda, recording and preparation of meeting minutes, coordination of follow-up required, dissemination of documents, etc.

Qualifications

Education

  • A university degree from a recognized Canadian institution with accreditation or an equivalent combination of education and experience is required.

Knowledge, Skills and Abilities

  • A minimum of three (3) years of relevant experience is required
  • Experience in the medical or post-secondary education environment is an asset
  • An understanding of the medical education environment and health education system in Northern Ontario and Canada
  • Proven analytical and report writing skills
  • Experience working with other software programs with formatting/utility capabilities of word processing (i.e. Microsoft Excel, Word) and with NOSM U’s custom programs
  • Demonstrated experience recording and transcribing formal and/or informal minutes
  • Computer systems and software such as Windows, Databases, Internet and E-mail
  • Ability to work independently within established organizational practices, protocols and policies
  • Ability to work in a consultative and collaborative fashion with a variety of other units to further the overall school strategic objectives
  • Ability to create, compose, edit and proof-read written materials using exceptional attention to detail
  • Ability to plan, organize and prioritize work and work well under tight deadlines
  • Ability to adapt to new technology
  • Ability to deal with people sensitively, tactfully, diplomatically, and professionally at all times
  • Ability to use discretion and maintain confidentiality
  • Must be able to communicate effectively in English (verbally, written and comprehension)
  • French/Indigenous language skills would be considered an asset
