Job Description

ACCOUNTABILITY

Staff Supervision & Operations

  • Assist in managing day-to-day operations of Intake Workers.
  • Maintain regular floor presence to ensure visibility, accessibility, and hands-on supervision.
  • Address staff concerns, provide coaching, and communicate disciplinary matters in line with policies and procedures.
  • Conduct supervision meetings, probation check-ins, and annual performance evaluations.
  • Attend and contribute to management meetings, providing updates on service restrictions and staff performance.

Scheduling & Attendance Management

  • Prepare staff schedules and arrange shift coverage in compliance with the Collective Bargaining Agreement (CBA).
  • Track staff leave, including vacation, sick, float, and statutory days.
  • Monitor vacation balances and approve requests appropriately.

Meetings & Documentation

  • Conduct or attend monthly Intake Workers Meetings and Resident Review Meetings.
  • Record, prepare, and distribute meeting minutes.
  • Review daily logbooks and incident reports, ensuring timely follow-up and proper documentation.
  • Support the preparation of daily, weekly, and monthly operational reports.

Recruitment & Onboarding

  • Prepare and maintain documentation for personnel files.
  • In partnership with the Assistant Director, conduct recruitment, interviews, and orientation for new staff.
  • Post job openings and schedule interviews with management approval.

Resident/Client Services

  • Ensure clients receive appropriate services and support.
  • Address client issues, concerns, and complaints in a timely and professional manner.
  • Conduct daily rounds to monitor client well-being and staff interactions.

Health & Safety

  • Ensure completion and documentation of health and safety checks and wellness rounds.
  • Participate in the Joint Health and Safety Committee.
  • Conduct and document monthly safety rounds assigned to the Intake Supervisor.

Administrative Responsibilities

  • Review and approve warnings and service restrictions based on documentation and client support needs.
  • Complete biweekly timesheets for Intake Workers and ensure timely adjustments to wage rates and probation updates.
  • Perform On-Call duties as required.
  • Carry out additional tasks as assigned by the Assistant Director or Director.

CRITICAL RELATIONSHIP MANAGEMENT

  • Internal: THHS Staff, DHQ/ THQ Staff
  • External: Establish and maintain good working relationships with external agencies to make the appropriate referrals.
  • Vendors/ Suppliers
  • Contractors

MANAGERIAL/Technical Leadership RESPONSIBILITY

  • Reports directly to: Assistant Director

WORK ENVIRONMENT

The incumbent’s work environment is typically designed in the entire facility and surrounding property designated.

The Incumbent Will Work Under The Following Disagreeable Conditions

  • May interact with clients with erratic/aggressive behaviors
  • May deal with
  • Angry and/or abusive people
  • May deal with verbal abuse
  • Odors
  • May deal with bodily fluids
  • May encounter sharps, safe drug supplies

Working Conditions

  • Works in a shelter environment
  • There may be frequent interruptions and multitasking
  • Equipment and general office noise (i.e. people talking, phones ringing)
  • May interact with clients with erratic/aggressive behaviors
  • May deal with angry and/or abusive people
  • May deal with verbal abuse

The above responsibilities must be discharged in accordance with The Salvation Army’s Mission Statement, in a professional manner, exemplifying Christian standards of conduct.

EXPOSURE TO HAZARDS

The incumbent may be exposed to the risk of moderate to severe injury or illness due to:

  • Physical attacks by others
  • Exposure to infectious diseases
  • Exposure to toxic chemicals
  • Moving Objects
  • Sharp Objects (i.e., needle pricks)
  • Electrical Hazards
  • Repetitive strain injuries (e.g., back, wrist)

PRECAUTIONARY MEASURES

The incumbent must take the following precautionary measures (in addition to health and safety rules):

  • Universal precautions
  • Use gloves
  • Use ear/eye protection
  • Eye wash stations
  • Fume masks where appropriate
  • Appropriate face mask (either medical or N95 and would be based on IPAC protocols)

Health And Safety Responsibilities

  • Comply with the provisions of the Occupational Health and Safety Act and Regulations
  • Adhere to the agency’s Health and Safety Program
  • Report accidents/injuries/workplace hazards in a timely manner
  • Conduct facility security/safety rounds on a regular basis according to policy
  • Adhere to all Health and Safety Policies of the agency

Education And Experience Qualifications

Education, Qualifications and Certifications

  • Social Services Worker diploma or a minimum of 5 years in a work-related field
  • A minimum of two years of supervisory experience, possess a working knowledge of the Toronto Shelter Standards
  • First Aid/CPR certificate
  • Non-Violent Crisis Intervention certificate,
  • Criminal Record Check Clearance.

Experience And Knowledge Requirements

  • Exceptional interpersonal skills and is expected to be a team player
  • Possess the ability to be flexible in working in two environments
  • Valid driver’s license and clean driving record a mandatory requirement

Skills And Capabilities

  • Ability to work within the mandate of The Salvation Army, exemplifying Christian Standards of Conduct
  • Superior oral and written communication skills
  • Strong supervisory skills and training
  • High level of proficiency with the Internet and Microsoft Office

Compensation

The target hiring range for this position is $55,693.49 to $69,616.86 with a maximum of $83,540.23.

Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
