The Contract Administrator position is an in-office role located in the Greater Vancouver area and reports directly to the Lead Administrator.
The Contract Administrator provides critical administrative support to the BC Hydro contract by executing day-to-day operational tasks in a timely and accurate manner. This position is responsible for maintaining contract documentation, assisting with financial and work order processes, supporting training activities, and ensuring efficient and consistent administrative services. The Contract Administrator will work closely with team members and reports directly to the Administration Supervisor to help ensure overall contract success.

The Contract Administrator provides critical administrative support to the BC Hydro contract by executing day-to-day operational tasks in a timely and accurate manner. This position is responsible for maintaining contract documentation, assisting with financial and work order processes, supporting training activities, and ensuring efficient and consistent administrative services. The Contract Administrator will work closely with team members and reports directly to the Administration Supervisor to help ensure overall contract success.
Responsibilities Include But Are Not Limited To The Following
- Process and maintain contract documentation and records in alignment with company and client standards
- Manage and track work orders, ensuring accurate data entry and timely updates
- Assist in the preparation of internal and client reports, pulling data from JD Edwards and Microsoft Office tools
- Assist in maintaining the equipment list and preventive maintenance (PM) schedule in JDE.
- Monitor and process incoming work orders for maintenance projects; maintain shared mailboxes.
- Support document control and filing processes to maintain accessibility and compliance
- Coordinate purchase orders and invoices in collaboration with procurement and accounts departments
- Respond to internal and external inquiries in a professional and timely manner
- Provide general office support, including scheduling, communications, and training documentation updates
- Assist with document preparation, meeting coordination, and responding to inquiries.
- Offer backup coverage for fellow administrators when required
- Participate in continuous improvement initiatives as directed by the Lead Administrator

- Diploma or certificate in Office Administration, Business Administration, or a related discipline
- Equivalent combination of education and experience may be considered
- 2–3 years of experience in an administrative or contract-focused role
- Experience in a service-based or project-driven environment preferred
- Familiarity with work order processing, document control, and record-keeping
- Prior experience supporting financial processes (e.g., invoicing, A/P, A/R) considered an asset
- Proficient with Microsoft Office Suite (Word, Excel, Outlook, Teams)
- Experience with JD Edwards or similar ERP systems is highly desirable
- Strong organizational and time management skills
- Excellent verbal and written communication abilities
- Detail-oriented, with a commitment to accuracy and compliance
- Able to work independently and collaboratively in a fast-paced environment
