Schedule: 70 hours bi-weekly; Monday to Friday from 8:00 AM – 4:45 PM (Nine-Day Fortnight)

This is specialized and complex clerical work in the Legal Department producing and processing legal documentation of moderate complexity related to a variety of land and development transactions, and municipal contracts. An incumbent of this class prepares, reviews and reports on a variety of documents related to assigned cases or files; registers Land Title documents and notices; implements and maintains documentation standards established by the Land Title Office and City departments. A Legal Assistant will also prepare and process contracts, leases, licences and other legal documents; reviews same for completeness and accuracy prior to execution by senior staff; and obtains and reviews contractor insurance coverage and bonds; prepares routine bylaws and bylaw amendments according to precedent or as directed; liaises with and provides a variety of information and assistance to internal and external contacts related to the work performed; interprets and explains applicable policies, procedures, and requirements, forms and regulations. Develops, revises and upon approval implements new work methods and procedures; provides a variety of administrative and clerical support to supervisors as required. Performs related work as required.
Qualifications include completion of Grade 12 plus completion of a related certification, plus considerable related experience in processing legal documentation, preferably in a municipal setting, real estate and development work or an equivalent combination of training and experience. Considerable knowledge of procedures, forms, documents and legal terminology and requirements under the Local Government Act, Community Charter, Land Title Act, Strata Property Act, and other relevant legislation. Knowledge of business English, spelling, punctuation and of modern office practices and procedures in addition to the knowledge of departmental functions, regulations, and practices, as related to the work performed. An incumbent will have sound knowledge of the procedures and rules governing the preparation of City bylaws; considerable knowledge of myLTSA (i.e. Land Title and Survey Authority electronic services), and legal research resources. Ability to review, register and distribute a variety of legal documents of moderate complexity required in rezoning, subdivision, and conveyancing of land, interpret land titles, subdivision plans and other survey plans; to compose routine and non-routine correspondence; maintaining and updating a variety of files and records; ability to establish effective working relationships with a variety of internal and external contacts; and to work with minimal supervision under considerable time constraints. Skill in the use of software related to the work performed. A Legal Administrative Assistant Certificate is required.
This is a Temporary Full-time position until January 29, 2027.
