Role Overview

The Operations & Office Lead leads the day-to-day office and on-site operational experience for Precision AI’s Canadian team. This role is highly hands-on and execution-focused with attention to detail, ensuring that our physical spaces, operational workflows, and internal systems scale effectively as the company grows.

In the first six months, the role is primarily focused on office move planning, office and warehouse setup, and establishing foundational operational and systems infrastructure as the Calgary office comes online. Thereafter, the role shifts toward sustained office and team support, supply chain coordination, and continuous improvement of systems and processes, with an increasing emphasis on proactively identifying inefficiencies and implementing scalable solutions.

You will serve as the primary in-country point person for office and operational support in Canada, supporting the Calgary office and warehouse while contributing to Canada-wide operational needs. This role works closely with People Operations and C-level leaders who have scaled organizations before, receiving direct coaching and real-time exposure to how effective office, operational, and cultural systems are built in a growing deep-technology company.

This is an individual contributor role with significant ownership and influence, designed for someone who thrives in early-stage environments and isn’t afraid to roll up their sleeves.

Key Responsibilities

Office & Facility Operations

  • Own the planning, setup, and ongoing readiness of the Calgary office and warehouse space
  • Lead office move coordination and initial workspace buildout, including furniture, layouts, and vendor setup
  • Manage office vendors including cleaning services, maintenance providers, utilities, and office services
  • Ensure office and warehouse supplies are stocked, organized, and able to scale with headcount growth
  • Act as the primary on-site host for visitors, candidates, and partners, including check-in and tours

Operational Support, Supply Chain & Systems

  • Support supply chain coordination related to office operations, office supplies, and select operational or field-related materials
  • Coordinate ordering, tracking, and delivery of equipment and supplies in partnership with relevant teams
  • Administer software systems that improve consistency, visibility, and execution
  • Identify inefficiencies across office operations, supply chain workflows, and internal systems, and design pragmatic solutions to address them
  • Maintain a strong process focus, prioritizing prevention of repeat issues through thoughtful system and workflow design

Onboarding, Employee Experience & Culture Support

  • Support employee engagement from Day 1 by ensuring new hires feel welcomed, oriented, and set up for success in the office and warehouse
  • Act as a knowledgeable on-site resource for workplace guidelines, norms, and day-to-day questions
  • Plan and support office events and company-wide events (in-person and virtual)
  • Help foster a positive, inclusive office culture by supporting connection, collaboration, and shared experiences

Relevant Experience

  • 2–5 years of experience in office, facilities, or operational support roles
  • Experience working in a startup or fast-growing company environment preferred
  • Hands-on experience supporting physical office environments; exposure to warehouse or industrial spaces is a plus
  • Experience coordinating vendors, supply chain activities, or operational logistics
  • Comfort working cross-functionally with both technical and non-technical teams

What You Bring

  • A hands-on, “no job too small” mindset with a strong sense of ownership
  • High comfort using Microsoft Excel, including calculations and basic analysis
  • Experience administering Microsoft Teams/365 or Google Workspace
  • Strong interest and ability to quickly learn and administer new software systems
  • High attention to detail paired with sound prioritization
  • Strong interpersonal skills and comfort holding people accountable to shared standards
  • Good judgment and a bias toward escalation rather than guessing in ambiguous situations
  • Reliability, follow-through, and pride in keeping systems, spaces, and processes running smoothly

  • Interest or experience reviewing basic legal and contract agreements
  • Comfort using AI tools to improve speed, quality, or efficiency of work outputs
  • Interest in human resources and people management
