Our Board & Information Services Department is seeking an Elections Coordinator who will perform work in planning and implementing operations related to the general local election.

You are: A self-starter who is highly organized, detail oriented, and calm under pressure. You have excellent communication skills and can exercise tact and diplomacy.

The Elections Coordinator reports to the Supervisor, Legislative Services.

This role:

  • Performs detailed technical work in support of the general local election for the position of Director, Electoral Area A.
  • Meets with various stakeholder groups to negotiate communication channels; develops communication products to increase voter awareness and voter turnout; and develops and delivers key messaging directly to the electorate and stakeholders.
  • Develops legal notices in compliance with the Local Government Act; arranges advertising for the statutory phases of the election.
  • Acquires and analyzes electorate contact data for the purposes of outreach, ensuring data aligns with Electoral Area A boundaries and other requirements. Develops and updates the Metro Vancouver election website.
  • Communicates with candidates running for office. Meets or communicates with election officials in other jurisdictions to ensure there is no conflict.
  • Scouts voting locations to ensure locations meet requirements for suitable voting locations; negotiates use of selected locations and coordinates voting locations with partnering jurisdictions.
  • Prepares forms for the election, ensuring strict adherence to the requirements of the Local Government Act; arranges for printing and storage of forms. Maintains and preserves the records, notably the official candidate nomination forms/disclosures, the voting records and the election declarations. Ensures timely destruction of records as per the Local Government Act.
  • Procures and organizes election materials for each voting location, ensuring each voting location has the necessary forms, supplies, signage, etc.
  • Develops training and procedure manuals. Delivers training sessions to election workers, ensuring each election official understands the election procedures to minimize errors and reduce the risk of the election being challenged.
  • Performs other related duties as required.


To be successful, you have
:

  • 2 years of recent, related experience and/or completion of Grade 12 supplemented by courses in a relevant discipline such as local government studies, social sciences or business administration; or an equivalent combination of training and experience.
  • Knowledge of, and the ability to interpret, relevant bylaws and other applicable enactments such as the Local Government Act and Local Elections Campaign Financing Act.
  • Demonstrated knowledge of local government, in particular regional district and Electoral Area A in Metro Vancouver.
  • Demonstrated knowledge of the election process, preferably in a local government setting.
  • Demonstrated ability to coordinate the compilation of information from a variety of sources.
  • Strong verbal and written communication skills, including the ability to effectively listen, and support the resolution of problems; demonstrated writing skills and ability to draft communications in various mediums such as social media engagement, mail-out brochures, posters, postcards, presentations, online videos, web advertising and flyers.
  • Ability to use judgment to evaluate, research and resolve problems within established guidelines and procedures and determine which methods are applicable in any given situation.
  • Strong interpersonal skills and ability to build and maintain effective and respectful working relationships; applies team effectiveness skills and contributes to the achievement of team goals.
  • Skill in dealing tactfully and sensitively in a variety of situations including exercising substantial discretion with highly sensitive and confidential information.
  • Demonstrated ability to organize and prioritize tasks to meet multiple time-based deliverables requiring a high level of detail and accuracy; persistent in overcoming obstacles.
  • Proficiency using Microsoft office programs, including Word, Excel, and Outlook.
  • Valid BC Class 5 Driver’s License.
