The Opportunity

The City of Selkirk is currently in search of a Casual Culture, Recreation and Green Transportation Clerk to join our team. Under the general direction of the Director of Culture, Recreation and Green Transportation is responsible for performing clerical and coordination duties related to the operation of the Culture, Recreation and Green Transportation Department. Will provide excellent customer service in this front-line position

Job Duties

1. Administration

  • Assist CitizenSupport Representatives by providing essential information to efficiently respond to citizen inquiries.
  • Complete confidential correspondence forms, contracts, administrative reports and briefing reports.
  • Schedule and coordinate all facility/service rentals (ie, ball diamonds, soccer, hall rentals, etc.)
  • Maintain the departmental filing system for filing of correspondence, etc. plus preparation and submission of material to archives.
  • Ensure required notices are prepared and posted in public places, newspapers, websites and City facilities as directed.
  • Compile all weekly, monthly and annual reports and forward to appropriate Department Heads.
  • Monitor and control office inventory supplies.
  • Process incoming and outgoing mail.
  • Prepare for distribution the community calendars and schedule of events.
  • Interpret and make decisions in accordance with departmental policies and procedures as requested by the Department Head.
-Coordinate special event contracts and coordinate permits (ie. Walk-a-thon, movies, parades, fairs, city use property) and assist movie/filming companies.
  • Coordinate and attend meetings, seminars, conferences and take notes as directed.
Maintain and update the Community Digital Signs.

2. Financial

  • Accept payment of accounts, issue receipts, maintain duplicate receipts on file, balance cash receipts on a daily basis, and maintain the petty cash account.
  • Coordinate all invoices, proper work orders on matters in progress and follow up to ensure that actions are completed. Compile and forward invoices as well as prepare accounts receivable statements for processing by the Department of Finance.
  • Assist in the preparation of the annual budget

3. Grant Writing

  • Identify funding sources to support existing and planned program activities
  • Develop, write, and submit grant proposals to various agencies in collaboration with the Director.
  • Maintains primary responsibility for grant schedules and tracking grants.
  • Coordinates and follows-up on the progress of submitted grants.
  • Maintain records and submit reports related to grant opportunities.

4. Sponsorship and Advertising

  • Build, maintain, and update Sponsorship and Advertising Property Register.
  • Work with Manager and Director to ensure renewal and servicing deadlines are met.
  • Compile data and complete reports as necessary.

5. Perform other related duties as assigned

Qualifications/Minimum Requirements

  • Grade Twelve (12) Diploma or G.E.D.
-Post-secondary education in a related field - Administrative Assistant, Legal Administrative Assistant, Municipal or Legislative administration, CMMA or an equivalent combination of education and experience will be considered.
  • Two (2) years’ experience in an office environment
  • Basic training in accounting or related field
  • Basic training in grant writing or related field
  • Experience in basic report writing, research methods and data compilation
  • Ability to type 50 words per minute
  • Proficient in using Microsoft Office programs, specifically Excel, Word, PowerPoint and Outlook, as well as proficient in researching information on the internet
  • Must be able to communicate clearly and concisely, both orally and in writing. This includes the ability to understand written and verbal instructions
  • Must possess excellent organizational, time management and filing skills
  • Clear Criminal Record Check
  • Ability to establish and maintain positive working relationships with employees at all levels of the organization, external contacts and the public, in accordance with the Respectful Workplace Policy
  • Knowledge and understanding of the occupational hazards, safety precautions, regulations and procedures that are applicable to the area of work
  • Demonstrated competency in safe work practices
  • Physically able to perform the clerical aspects or physical duties associated with the position

Desired:

  • Experience in a municipal office environment
  • Knowledge and ability in SharePoint or other workflow related software.
  • Courses or experience in website maintenance
  • Knowledge of local government by-laws, provincial and federal legislation.

Comments

This is a Casual Unionized position ranging from January to June 2026, working 20 hours a week. Work performed in this position is applicable to union dues but is not entitled to any other benefits or entitlements under the Collective Agreement except for Article 24.
