The Opportunity

We are seeking a highly organized and professional Office Coordinator to join our Kelowna, BC office. This permanent, full-time position plays a critical role in supporting operations across all six regional offices by acting as the central point of coordination for communications, logistics, and administrative support.

The Office Coordinator ensures a consistent, high-quality client experience while enabling technical teams to operate efficiently. This role is well suited to an individual who thrives in a fast-paced consulting environment, enjoys managing multiple priorities, and takes pride in maintaining a professional and well-organized workplace.

Key Responsibilities

Centralized Communications (All 6 Locations)

  • Serve as the primary point of contact through the centralized VoIP phone system, answering, screening, and routing calls for all six regional offices.
  • Maintain a consistent, professional brand voice across all regions to ensure a seamless client and contractor experience.
  • Identify and distribute new project inquiries, proposals, and RFPs to the appropriate regional project manager or department head.

Technical Logistics & Material Distribution

  • Coordinate the shipping and transport of geotechnical material samples (soil, rock, concrete) between field sites, regional offices, and testing laboratories.
  • Oversee the plotting, organization, and distribution of large-format site plans, drawings, and permit sets.
  • Act as the primary liaison with courier and shipping vendors to ensure time-sensitive engineering materials are delivered accurately and on schedule.

Regional Resource Management

  • Monitor and order office supplies, field consumables, and stationery for all six locations to ensure cost efficiency, availability, and brand consistency.
  • Manage relationships with regional vendors, including janitorial, maintenance, and equipment service providers.
  • Provide administrative support to Head Office and regional engineering teams, including digital filing, formatting technical reports, and coordinating travel or lodging for field staff.

Office & General Administration

  • Maintain clean, organized, and professional front office(s), ensuring supplies are stocked and work areas are kept tidy.
  • Support onboarding and internal coordination activities as required.
  • Perform other administrative support duties as required, recognizing that the scope of this role is broad and responsive to business needs.

Qualifications

  • Minimum of 3+ years of experience in an administrative lead, office coordinator, or office management role, ideally within an engineering, construction, or environmental consulting firm.
  • Advanced proficiency in Microsoft Office 365 (Word, Excel, Outlook, Teams).
  • Experience managing cloud-based phone systems and digital document management platforms.
  • Strong logistical and organizational skills with the ability to manage multiple priorities across geographically distributed offices.
  • Excellent written and verbal communication skills suitable for a professional consulting environment.
  • High level of professionalism, discretion, and attention to detail.
