PROFILE
Working within our Professional Liability group with a focus on Medical Defence and Health Law, the Legal Administrative Assistant will be relied upon to provide a high level of professional support to one or more professionals working within a collegial team atmosphere.
This is a 1-year contract until April 2027.

PROFILE
Working within our Professional Liability group with a focus on Medical Defence and Health Law, the Legal Administrative Assistant will be relied upon to provide a high level of professional support to one or more professionals working within a collegial team atmosphere.

RESPONSIBILITIES
- Coordinating all administrative work of a responsible and confidential nature while organizing and expediting the flow of work through the professional's practice, lliaising with other team members and initiating any follow-up action as appropriate;
- Managing the professional`s calendar including liaising with various internal and external individuals, groups and clients with respect to scheduling and travel arrangements;
- Preparing and organizing meeting and briefing materials in different media formats;
- Managing follow-up and action items from high-level meetings including reviewing and editing minutes;
- Maintaining up-to-date electronic files for reference by all other team members;
- Managing a “Bring Forward” system to ensure tasks are delegated and follow-up action is undertaken;
- Accurately preparing legal documents and correspondence with minimal direction, including some transcription;
- Supporting the professional and working with other senior team members with respect to client management requirements, including billing, communications, event planning and general relationship management;
- Assisting with maintaining and updating files in proprietary applications including some data entry and posting of communications and reference materials;
- Preparation and submission of expense reimbursements and other financial approvals;
- Other duties as required.
- Relevant post-secondary education (such as University degree or Administrative/Legal Administrative Assistant Diploma) coupled with a minimum of 8 years’ experience working in a professional environment (litigation experience is preferred);
- Ability to communicate effectively with clients, stakeholders and Firm members, with the aptitude to take care of clients’ needs in a professional and courteous manner;
- Superior interpersonal and relationship management skills, supported by excellent written and oral communications skills;
- Positive, can-do attitude and excellent problem-solving skills, with the ability to overcome challenges, to work with changing priorities, and to think ‘outside the box’ when looking for solutions;
- Excellent software skills including a working knowledge of Microsoft Office Suite; Experience with document/records management or database applications would be an asset;
- Strong organizational and time management skills;
- Capacity to work independently, as well as in a team environment;
- Ability to produce a high quality and quantity of work product, often under tight timelines;
- Able to prioritize and to redefine priorities when necessary;
- Handle stress in a business-like manner;
- Bilingualism (French/English) would be an asset.
