Overview Of The Role
The project coordinator acts as the operational backbone for advertising campaigns, ensuring that media plans and campaigns are executed efficiently, on time, and within budget.
This role is perfect for a meticulously organized, detail-oriented, and proactive individual who thrives on managing complex logistical workflows, facilitating seamless communication, and ensuring the precise, on-time execution of media campaigns.

Overview Of The Role
The project coordinator acts as the operational backbone for advertising campaigns, ensuring that media plans and campaigns are executed efficiently, on time, and within budget.
This role is perfect for a meticulously organized, detail-oriented, and proactive individual who thrives on managing complex logistical workflows, facilitating seamless communication, and ensuring the precise, on-time execution of media campaigns.
Your Responsibilities
- Coordinate internal meetings, and external meetings with clients or media vendors.
- Organize and track all contracting documentation and distribute to the assigned project leads
- Manage timelines for media campaigns, including delivery deadlines for various deliverables, client approvals, ad asset delivery, campaign launch dates, and reporting cycles
- Assist in tracking media campaign budgets, ensuring spending aligns with approved plans and pacing and help to flag any potential budget discrepancies or over/under-spends.
- Support the creation and dissemination of campaign performance reports and dashboards and track the delivery of ad creatives and ensure they are live and serving correctly.

Experience
- Degree in advertising, marketing, business management or communications; or equivalent professional experience such as experience in an administrative, coordination, or project support role, preferably within an agency or media environment.
- Demonstrated experience in managing schedules, organizing information, and communicating with multiple stakeholders.
- Proficiency in Microsoft office suite
- Excel (advanced): essential for tracking budgets, schedules, data, and creating reports. Must be comfortable with formulas, sorting, and filtering.
- Outlook: for email management and calendaring.
- PowerPoint: for preparing presentations or reports.
- Familiarity with project management software: (e.g., Asana, Trello, Wrike, monday.com) is a significant plus, demonstrating experience with workflow management.
- Ability to communicate concisely and clearly, both orally and in writing, in French and English
- Hyper-organized & detail-oriented: this is paramount. You must be able to manage multiple timelines, track numerous assets, and specifications without missing a beat. A high degree of accuracy and meticulousness is essential to prevent costly errors in media buys.
- Exceptional communicator (written & verbal): you will be the central hub, facilitating communication between internal media teams, external vendors, creative agencies, and sometimes clients. Clarity, professionalism, and the ability to convey complex information simply are crucial.
- Proactive & self-motivated: you shouldn't wait to be told what to do; you should anticipate needs, follow up on outstanding items, and flag potential issues before they become problems. A "can-do" attitude and initiative are highly valued.
- Strong problem-solver (logistical): while not strategic problem-solving, you need to be adept at identifying and resolving minor logistical bottlenecks, scheduling conflicts, or missing information quickly and efficiently.
- Tech-savvy & adaptable: comfort with various software and platforms is a must. You should be a quick learner when it comes to new project management tools, ad platforms, or internal systems.
- Reliable & trustworthy: you will handle sensitive campaign information, budgets, and client assets. Dependability and discretion are key.
- Team player with a service mindset: you primarily support the media planning and buying teams, so a collaborative attitude and a willingness to help colleagues succeed are important.
- Ability to thrive under pressure: advertising often involves tight deadlines and fast-paced environments. You need to remain calm, focused, and effective when things get hectic.
- Curious & eager to learn: while not a strategist, a genuine interest in the media and advertising industry will help you understand the "why" behind your tasks, leading to better support.
