Position Overview

The STOTT PILATES Academy Toronto is a place of learning, movement, and connection. We’re looking for a part-time Administrative Coordinator to be the welcoming face of the Academy during evenings and weekends.

This role is ideal for someone who is organized, personable, and genuinely enjoys working with people. You’ll support students as they inquire about courses, assist wsith enrollment and help create the warm, professional atmosphere STOTT PILATES is known for.

Key Responsibilities

Front Desk & Student Support

  • Serve as the primary point of contact at the Academy during scheduled evening and weekend shifts
  • Welcome students, instructors, and visitors and support a positive, professional Academy experience
  • Respond to inquiries related to education programs, schedules, prerequisites, and pricing
  • Assist prospective and current students with the enrollment and onboarding process
  • Follow up on education inquiries and leads as directed by the Academy team
  • Maintain up-to-date knowledge of Academy education offerings and schedules
  • Maintain a clean work station
  • Organize and maintain cleanliness of classrooms

Administrative & Record Management

  • Maintain accurate student records, files, invoices, and enrollment data
  • Track completion of courses, workshops, exams, and education privates
  • Maintain education and workshop documentation and files
  • Assist with preparing course materials and supporting on-site logistics

Program & Operational Support

  • Support day-to-day Academy and Studio operations during scheduled hours
  • Communicate student questions or needs to the appropriate Academy team member

Who You Are

  • Friendly, approachable, and comfortable engaging with a wide range of people
  • Organized and detail-oriented, with a natural ability to juggle tasks
  • Calm and professional, even during busy periods
  • Interested in movement, education, or wellness (Pilates experience is a plus, not a requirement)
  • Someone who values being part of a team and contributing to a positive community

Skills & Experience

  • 2+ years of experience in customer service or administrative support
  • Comfortable using computers and databases (Microsoft Office required; FileMaker Pro an asset)
  • Strong communication and organizational skills
