The opportunity
The Administrative Associate plays a critical role in supporting operational efficiency, enhancing client experience, and maintaining the high standards expected within a regulated financial institution. This position presents an excellent opportunity for individuals who thrive in a client-focused environment and excel at balancing administrative responsibilities with process coordination and team support.
This is a 12-month term position with the potential to transition into a permanent role based on business needs and performance. The role offers a flexible work schedule, with weekly hours ranging from 24 to 37, depending on candidate availability and operational requirements.
Key responsibilities include
- Deliver a high level of client service, including professionally managing inbound communications and building positive client relationships.
- Support advisors and team members by providing comprehensive administrative and operational assistance.
- Assist with client onboarding processes, including document collection, tracking, and follow-ups to ensure a seamless experience.
- Ensure adherence to internal procedures, regulatory requirements, and confidentiality standards.
- Prepare, format, and maintain client documentation, correspondence, and reports with a high degree of accuracy.
- Manage calendars, coordinate meetings, and organize appointments and logistics.
- Collaborate with team members to streamline processes and enhance operational efficiency.
- Maintain organized electronic and physical filing systems in accordance with compliance standards.
- Assist with meeting preparation, including agendas, materials, and follow-up actions.
- Support document management, data entry, and reporting processes.
- Coordinate office operations, including supplies, mail, and general administrative workflow.
The ideal candidate will possess
- Post-secondary education in business administration, finance, or a related field is considered an asset
- One year of experience in an administrative and/or client-facing role preferred; entry-level candidates will be considered.
- Experience in the wealth management sector or other regulated industry is an asset.
- Proficiency with the MS Office suite, including Word, Excel, PowerPoint, Teams, and Outlook.
- Experience with Client Relationship Management (CRM) systems a benefit.
- Client-focused with a strong commitment to delivering a high standard of service.
- Demonstrated ability to handle confidential information with integrity and discretion.
- Strong attention to detail and commitment to accuracy.
- Exceptional organizational and time management skills, with the ability to manage competing priorities.
- Strong organizational and problem-solving abilities.
- Professional communication skills, both written and verbal.
- Ability to work both independently and collaboratively within a team environment.
- Proactive, dependable, and process oriented.
- Technically proficient with the ability to quickly adapt to new tools and systems.
