About the Role

We are seeking a highly organized, proactive, and detail-oriented Executive Administrator to provide comprehensive support to our executive leadership team. This role is critical in ensuring the smooth operation of executive functions, managing priorities, coordinating communications, and supporting strategic initiatives across the organization.

The ideal candidate thrives in a fast-paced environment, exercises discretion when handling confidential information, and can effectively balance multiple priorities while maintaining exceptional professionalism.

Key Responsibilities

Manage executive calendars, meetings, appointments, and travel arrangements.

Coordinate internal and external communications on behalf of executives.

Prepare reports, presentations, meeting agendas, and executive correspondence.

Organize and facilitate leadership meetings, including taking minutes and tracking action items.

Screen and prioritize incoming requests, inquiries, and communications.

Support strategic projects and cross-functional initiatives.

Maintain confidential records, documents, and executive files.

Coordinate company events, leadership offsites, and special projects.

Assist with budgeting, expense reporting, and vendor coordination.

Improve administrative processes and identify opportunities to increase efficiency.

Qualifications

3+ years of experience supporting senior executives, leadership teams, or business owners.

Exceptional organizational and time-management skills.

Strong written and verbal communication abilities.

Advanced proficiency with Microsoft Office Suite and Google Workspace.

Experience managing complex calendars and coordinating multiple stakeholders.

Ability to maintain confidentiality and exercise sound judgment.

Strong attention to detail and problem-solving capabilities.

Ability to work independently and prioritize competing demands.

Preferred Qualifications

Experience supporting C-level executives.

Project coordination or project management experience.

Experience with CRM, ATS, ERP, or business management software.

Post-secondary education in Business Administration or a related field.
