The Schulich School of Medicine and Dentistry at Western University is a public, urban medical and dental school to serve the people of Southwestern Ontario. The School's mission is to provide medical and dental pre-and post-doctoral education programs.
At Schulich Dentistry, we prepare qualified graduates to provide dental care as well as generate knowledge through clinical research, basic science research and other scholarly activity. We also provide oral health care to the public through our on-site clinics and our community outreach programs, specifically, Community Service Learning (CSL) program and total health.
Responsibilities
Records Digitization & Organization Clerk (Graduate Orthodontics)
This position assists with the transition of orthodontic records from physical to digital format through scanning, indexing, and quality verification of patient charts and models. The role emphasizes confidentiality, accuracy, and effective communication while supporting an organized records system.
Qualifications
Education:
- Must be a student returning to studies in the fall
Experience:
- 1 year part time employment or volunteer experience
Responsibilities/Accountabilities
The Records Digitization Clerk will:
- Organize and inventory physical orthodontic models and patient charts
- Digitally scan orthodontic models, charts, and related records following established protocols
- Ensure accurate labelling, indexing, and secure storage of digital files
- Verify completeness and quality of scanned records
- Prepare physical models and charts for appropriate disposal in accordance with clinic, university, and privacy policies
- Maintain confidentiality and comply with patient privacy and data protection standards
- Assist with maintaining an organized records storage area (physical and digital)
- Follow detailed instructions and standardized workflows with attention to accuracy
- Communicate progress and any issues to the supervising faculty member
- Perform other related administrative or clerical duties as assigned
Qualifications
- Coursework and/or experience in a healthcare-related field (Medicine/Dentistry/Nursing) is an asset
- Knowledge of general office procedures
- Written and verbal communication skills to express ideas clearly, and adapt communication style to suit the situation and audience
- Computer skills with the ability to learn and use software programs
- Basic computer skills in Microsoft Office Suite
- Ability to maintain a positive, outgoing attitude with genuine customer service orientation
- Ability to follow formal business practices with high attention to detail
- Ability to multi-task and maintain an organized and effective personal work environment
- Adapts readily and effectively to changing priorities and demands
- Personable and courteous in working relationships with colleagues, students and the public
- Demonstrated ability to understand and resolve external and internal partner issues
- Ability to work independently and effectively as a member of the team to achieve department goals
- Ability to work in a manner that is compliant with confidentiality requirements
