At Standard Machine we design and manufacture high-quality parts for critical industries including pulp and paper, mining, oil and gas, chemical processing plants, steel mills, marine applications, transportation, military, and aerospace.

Reporting to the HR Business Partner, the Administrative Assistant is responsible for supporting the general administration of the company in the primary areas of Safety, Training, Maintenance, and QA, with additional support in HR and Finance as time allows.

Key Responsibilities

Safety:

  • Manage SiteDocs including training process
    • Uploading and creating documents
    • Sending documents for training and signature
    • Monitor signatures and send reminders
    • Manage SharePoint uploads
  • Safety/Quality alerts as needed
  • Update shop inspection report monthly
  • Enter Gensuite and corporate safety tracking information
  • Monitor and update contractor safety portals such as ISNetworld, and Avetta

Training:

  • Compile and distribute monthly toolbox per department including auditing
  • Manage MOCD process, including tracked changes audits, training staff on the process, and assisting Safety in sending for review and sign off in SiteDocs
  • Scan, re-name, file, mark, track, audit new hire and recert training exams including orientation sign off
  • Assemble training materials for in-person sessions
  • Audit monthly training and send reminders for sign off in SiteDocs
  • Upload employee credentials in SiteDocs

Maintenance:

  • Check and refill sanitizer stations
  • Machine meter reads and tracking in spreadsheet
  • Update downtime spreadsheet
  • Assist in scheduling preventative maintenance through Epicor

QA:

  • Data entry and tracking of NCRs and CAs
  • Manage tool calibration process in Epicor

Qualifications

Our ideal candidate has 2+ years of experience and possesses the following education and competencies.

Education

  • Diploma in Administration or Business

Competencies

  • Demonstrated attention to detail verified through accurate work with limited mistakes
  • Excellent written and verbal communications skills
  • Expertise with Microsoft Office suite including Word, Excel, and Office
  • Experience in document storage (SharePoint) and ERP (Epicor) systems, and accounting software (ADP, Ceridian)
  • Willingness to learn and be flexible on a day-to-day basis
  • Comfortable training others, including ability to explain complex information in a step-by-step manner
  • Work independently, taking responsibility for task completion and deadlines
