OHS Administrative Support Assistant at Strathcona County

Reporting to the Supervisor, OHS Services and Data Analytics, the OHS Administrative Support Assistant plays a key role in ensuring Occupational Health and Safety (OHS) programs are delivered effectively, on time, and in alignment with established policies and procedures.

This role provides administrative coordination for training, meetings, audits, and safety documentation within Recreation, Parks and Culture (RPC).

You will collaborate with OHS leadership, specialists, coordinators, supervisors, and employees across the RPC department to support safety initiatives and ensure compliance with the County’s health and safety management system

This posting is for 1 non-perm hourly position working 15-20 hours/week till Dec 31, 2026

Key Responsibilities

  • Maintain and monitor OHS training records in Oracle
  • Work with the Vehicle Safety Program Coordinator to validate required training for driver roles
  • Schedule and organize training sessions (e.g., fire extinguisher, load securement, SureHire)
  • Book training vendors and venues and manage attendance lists and invitations
  • Review training records to support supervisors in identifying gaps
  • Schedule and coordinate health and safety meetings
  • Prepare agendas and record detailed minutes, following up as appropriate with outstanding action items
  • Maintain organized meeting records and documentation
  • Provide coordination support for COR audits
  • Assist supervisors with scheduling interviews, site observations, and document collection
  • Liaise with external auditors as required
  • Maintain and update the Safe Work Practice (SWP), Safe Job Procedure (SJP), and Safety Data Sheet (SDS) library
  • Support ongoing awareness and compliance with safety programs across RPC

Qualifications and Skills

  • High school diploma with a minimum of 4 years of administrative experience
  • Post-secondary education in a related field is considered an asset
  • Strong organizational skills and ability to manage multiple priorities within tight timelines
  • Excellent interpersonal and communication skills
  • Ability to maintain confidentiality and professionalism in a fast-paced environment
  • Experience coordinating meetings, preparing minutes, and tracking action items
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
