Responsibilities
- Respond to emails and calls from employees regarding the building and security and follow up with them once their request has been completed;
- Delegate and assign tasks to members within the Building Operations and Security Department
- Manage equipment on-loan to employees and other companies;
- Coordinate the fire response teams within Matrox;
- Liaison between Matrox and outsourcing companies for evacuation procedures;
- Write business communications on behalf of the department in both English and French;
- Create and update forms and manuals;
- Generate and tabulate spreadsheets;
- Data entry and update databases;
- Coordinate and schedule trainings to maintain specialty certifications such as First Aid and Forklift Certificates;
- Oversee new employee safety procedures for emergency situations;
- Overseeing ergonomics for employees with medical files and update ergonomic registries;
- Maintain vehicle certifications and registrations;
- Carry out general office tasks and administrative tasks related to building maintenance.
Qualifications
- A DEC, DEP or AEC Diploma in Office Systems Management, Business Management or a related field.
- Excellent organizational and time management skills;
- Excellent interpersonal and customer service skills.
- Ability to work as part of a team and independently;
- Intermediate knowledge of Microsoft Excel and Word;
- Ability to prioritize based on urgency and manage multiple tasks;
- Excellent written and verbal skills in English and French;
- Building operations and maintenance knowledge would be an asset.
