Irwin’s Safety is currently looking for a full-time Divisional Administrator. The Divisional Administrator role supports divisional Planners and Managers by handling administrative tasks associated with operational projects, to ensure smooth project execution.

Role Responsibilities

  • Complete regular paperwork audits to verify compliance is being achieved on project preparation & execution documentation.
  • Review estimating schedules to assist project coordinators in creating project schedules
  • Administer and maintain project schedules in collaboration with project coordinators and project leads.
  • Verify training and occupational testing records, including customer and internal orientations, to create training matrices for workers placed on project schedules. Where gaps exist, work with HR team to close these gaps.
  • Prepare mobilization requirements for workers, including accommodations and assistance in transportation planning.
  • Enter employee time daily and generate field tickets (daily or weekly cost-tracking summaries for clients)
  • Complete regular paperwork audits to verify compliance is being achieved on project preparation & execution documentation.
  • Participate in project closeout activities to effectively document lessons learned; track corrective actions schedules to verify follow-through.
  • Maintain physical filing systems for internal and external records
  • Maintain virtual filing/recordkeeping across a variety of operational systems
  • Attend and take meeting minutes, capture, and communicate action items
  • Cover for Divisional Planner when they are on holiday or indisposed.
  • Ad hoc tasks as required by the divisional operations team

Qualifications

  • Proficiency with Microsoft Office 365 is required
  • Strong computer literacy is required
  • Strong organizational skills are required
  • Strong English communication skills (written and verbal) are required
  • Efficiency is a must
  • Ability to problem solve is a must
  • Able to function in a fast paced environment is required
  • Experienced working in an industrial setting is a definite asset
  • Must be able to work from the office.

Job Types: Full-time, Permanent

Pay: $25.00-$28.00 per hour
