Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook), Microsoft Power BI, Adobe and document management platforms (Teams, SharePoint). Experience with or interest in AI-supported tools.

Qualifications

Bachelor’s degree in Civil Engineering or a relevant field (preferred)

1–3 years of experience in a similar coordination or pre-construction role (infrastructure or construction industry preferred)

Time management and organization skills

Ability to work with multiple discipline projects

Employees will primarily be required to work in project Site Office.

Essential Duties and Responsibilities

The Project Coordinator will support a wide range of pre-construction and bid-related activities, including:

Conduct research on upcoming infrastructure projects and market opportunities

Maintain and update project tracking tools, including bid calendars, timelines, and status reporting

Support internal bid approval processes, including maintaining the bids system and coordinating required reviews

Maintain and organize document library for bids

Manage document distribution, including bid documents, RFIs, and addenda

Assist in the review of tender documents, risk assessment and contractual requirements jointly with subject matter experts

Assist with bid requirement checklists for submittals to comply with strict solicitation guidelines and to develop proposal outlines and schedules, ensuring all contributors meet internal deadlines and submission requirements

Gather and coordinate information from commercial, technical and project teams to assemble a cohesive and compliant bid.

Support preparation of RFQ (prequalification) and RFP (tender) submissions.
