The ideal candidate will have experience as an Administrative Coordinator, with preference given to those with Medical Education knowledge or background.

Who you are

You have worked in an educational and/or leadership for a minimum of 2 to 3 years. You have experience in medical education, organizational communication, and the ability to work independently and as part of a team. You have an intermediate to advanced proficiency level in Microsoft Office applications.

University degree or an equivalent combination of education, training, and experience.

Written and spoken competence in English is required at an advanced level.

What you will do

The Medical Education Coordinator for the Saint John integrated Family Medicine & Emergency Medicine (iFMEM) Residency Program reports directly to the Medical Education Manager in Saint John, but works closely with the Program Site Director, Family Medicine Coordinator, and Family Medicine Administrative Assistant. This position is responsible for:

  • Managing the development and maintenance of the integrated Family Medicine & Emergency Medicine residency trainee program and rotation schedule.
  • Creating and maintaining up-to-date resident personnel files
  • Overseeing evaluation tools pertaining to resident progress, academic activities, preceptors, practice exams, etc.
  • Processing payments pertaining to curriculum sessions, conferences, and travel for both residents and faculty.
  • Coordinating, together with the parent program and Site Director, the CaRMS match process for resident recruitment.
  • Assisting in the preparation of materials for program accreditation.
  • Coordinating records of resident time-off requests and other leaves, which may require processing required documentation at the University level.
  • Meeting regularly with the Site Director to discuss routine matters and, once experienced, make recommendations for improvement.
  • Coordinating and facilitating, together with the Family Medicine Site Coordinator and Administrative Assistant, all curriculum and educational sessions pertaining to iFMEM.
  • Attending meetings, seminars, conferences, or other educational functions relative to the continued and improved operation of the program. Meetings include program cabinet meetings, program sub-committee meetings, medical education meetings, and all-site administrator meetings. Travel may be required.
  • Coordinating workshops and unique events, including, but not limited to, resident orientation, site visits, development of program objectives, coordination and preparation of summaries and resulting documents for faculty and residents.
  • Building collaborative relationships within the Education community, the Departments of Family Medicine, Emergency Medicine, Horizon facilities, government, and Dalhousie University.
  • Consulting with the Department of Family Medicine, Maritime Doctors, Resident Affairs, Horizon Health, NS Health, Dalhousie PGME Office, and other relevant individuals and organizations regarding a variety of educational matters as needed.
  • Receives all correspondence and inquiries to the Program, including inquiries from residents, faculty, and colleagues, and responds appropriately.

Note: The duties listed above are considered basic and foundational; new or related tasks may be assigned as necessary.
