This position combines sales, customer service, and relationship management to create exceptional experiences for prospective and current residents. What Your Day Will Look Like
As a Leasing Associate you will provide a high level of customer service to visitors of Southwest Properties. Reporting to the VP, Residential Leasing & Brand Strategy, this role is part of our Residential Leasing Department and reports directly to the VP, Residential Leasing & Brand Strategy,
Hours of Work: 8:30am - 5:00pm. One hour for lunch.
Work Location: Southwest Properties' Main Office.
What You'll be Responsible For
Leasing & Resident Experience
- Manage all leasing activities for an assigned residential portfolio, including responding to, qualifying, and nurturing prospective resident leads.
- Guide prospects through the leasing journey, building relationships and delivering an exceptional customer experience from first inquiry through move-in.
- Effectively close leasing opportunities by understanding renter needs, showcasing property features, presenting lease terms, and overcoming objections.
- Co-ordinate property tours in collaboration with Resident Managers and Concierge teams.
- Build strong relationships with prospective and current residents to foster resident satisfaction, retention, and positive referrals.
- Assist with move-in coordination to ensure a seamless transition and welcoming resident experience. From Leasing to Living.
- Maintain a strong understanding of market conditions, competitor offerings, and portfolio availability to support leasing success
- Support leasing and marketing initiatives by responding promptly to inquiries, managing lead pipelines, and participating in promotional events and campaigns.
- Collaborate with Property Management and Marketing teams to continuously improve leasing performance, resident engagement, and customer experience.
Leasing Process
- Maintain up-to-date documents on vacant/upcoming locations including appropriate links, floor plans, and pricing.
- Respond promptly and accurately to inquiries through multiple communication channels including Southwest Leasing Portal, incoming calls, internal partner inquiries, and walk-in traffic.
- Complete monthly tracking and reporting of unit turnovers.
- Manage competitor analysis spreadsheets and update as required.
- Create and record tenant communications (e.g., Month-to-Month requests) in accordance with the NS Tenancy Act.
- Maintain the residential portfolio waitlist according to prospects' needs, budget, location, and timing requirements.
- Navigate and utilize in-house systems including Yardi, Rent Café, Rent Check, and SharePoint.
- Input tenant insurance information into Yardi.
- Forward resident contact information to Bell Aliant.
Customer Care
- Deliver exceptional customer service through professional, timely, and effective communication across all channels.
- Respond to resident and prospect inquiries with a solutions-focused approach.
- Serve as a brand ambassador for Southwest Properties, creating positive experiences that reflect our commitment to excellence.
- Build long-term relationships with residents while supporting retention and resident satisfaction initiatives.
Customer Service
- Answer and direct telephone calls.
- Greet and announce walk-in visitors.
- Process cash, cheque, or debit payments.
- Maintain knowledge of all departments and roles to best direct incoming calls and inquiries.
- Keep detailed and accurate records of visitor requests and calls received/resolved.
- Handle queries via phone, email, and general correspondence.
- Professionally manage customer situations by documenting information and directing to the appropriate department.
- Assist coworkers and teams on an ad-hoc basis.
Administration
- When required - open and sort internal and external mail; complete mail drop-off at the end of each working day.
- Send and receive courier items locally and internationally.
- When required - Open and close the reception area daily.
Qualifications
- Residential leasing experience.
- Proven success in leasing and achieving occupancy or leasing targets.
- Strong knowledge of the Residential Tenancies Act and lease compliance requirements.
- Demonstrated ability to build relationships, close deals, and provide an exceptional customer experience.
- Excellent communication, presentation, and interpersonal skills.
- Strong sales aptitude with the ability to identify customer needs and recommend solutions.
- Highly organized and detail-oriented with strong administrative and record-keeping skills.
- Ability to multitask, prioritize, and thrive in a fast-paced environment.
- Proficiency with Yardi, CRM systems, and Microsoft Office Suite is considered an asset.
- Professional, positive, and collaborative team player with a passion for customer service and residential leasing.
Your Environment
You will work in an office setting, attending portfolio meetings and meet with residents where required.
