Aurora Orthodontics is seeking a seasoned, professional, and highly motivated

Orthodontic Treatment Coordinator to join our well-established practice in Aurora, ON. This is a replacement position within our established orthodontic team.

This is not an entry-level position. We are looking for an experienced orthodontic professional who can immediately contribute to the continued growth of our practice while enhancing the exceptional team culture we have worked hard to build.

How You’ll Make An Impact

As the first point of contact for many new patients, the Treatment Coordinator plays a pivotal role in helping patients and families understand their treatment options, feel confident in their decisions, and begin their orthodontic journey with trust, clarity, and excitement.

  • Welcome and guide new patients through their orthodontic consultation experience.
  • Review and clearly explain orthodontic treatment recommendations presented by the doctor.
  • Present treatment fees, financing options, and payment arrangements with confidence and professionalism.
  • Build trust and rapport with patients and families from their first interaction onward.
  • Assist with diagnostic records, photographs, and patient documentation as needed.
  • Verify insurance benefits and support insurance-related inquiries.
  • Prepare professional correspondence, reports, and patient communications.
  • Maintain accurate and up-to-date patient records.
  • Follow up with prospective patients to support treatment decisions and case acceptance.
  • Communicate professionally with patients, families, referring dentists, specialists, and healthcare partners.
  • Collaborate closely with clinical and administrative teams to ensure a seamless and exceptional patient experience.
  • Support practice growth and patient retention initiatives, including community outreach, referral-building activities, patient appreciation events, school and community partnerships, and local sponsorship or engagement efforts.
  • Assist with additional administrative, marketing, and operational projects as required.

The Teammate We’re Looking For

  • Minimum 1 year of experience working in an orthodontic office.
  • Previous experience as a Treatment Coordinator, Orthodontic Assistant, Orthodontic Administrator, Dental Hygienist, or similar orthodontic role.
  • Strong understanding of orthodontic treatment and terminology.
  • Exceptional verbal and written communication skills.
  • Professional, confident, and compassionate demeanor.
  • Strong organizational and time-management skills with the ability to multitask in a busy environment.
  • Comfortable discussing treatment fees, financing options, and payment arrangements.
  • Strong computer skills with the ability to quickly learn new software and systems.
  • Ability to work independently while contributing positively to a collaborative team environment.
