Location: Penticton
The Regional District of Okanagan-Similkameen is currently recruiting for a temporary (one year term), full-time Executive Assistant to join the Legislative Services team. The incumbent provides senior level administrative support for the Electoral Area (EA) Directors in the planning and execution of corporate initiatives that are directed by the Corporate Officer (CO) and aligned with the EA Directors initiatives.
KEY RESPONSIBILITIES
- Supports the organization's visions, goals and initiatives by assisting in the facilitation of the organization's strategic priorities.
- Produces complex correspondence and reports related to functions and requirements outlined by the CO and EA Directors.
- Conducts research, coordinates projects and works collaboratively with departments to communicate results in support of the organization's and Board of Directors strategic priorities.
- Assists the EA Directors in day to day tracking of tasks, issues, service requests, inquiries and follow-up, meeting bookings, event planning/coordination and assigned processes.
- Coordinates, tracks and communicates a variety of highly confidential information and processes including contract/agreement management and email correspondence of the CO.
- Works collaboratively with staff across the organization to support the planning and execution of EA Director initiatives, including the planning, design, implementation, and post-implementation tasks.
- Accountable for ensuring employees are made aware of all known or reasonably foreseeable health or safety hazards and adhere to the Regional District's Occupational Health & Safety Program for compliance with WorkSafeBC.
- Supports the frontline administrative and clerical services to facilitate a consistent customer excellence approach.
- Creates, reviews and streamlines administrative processes and work flows to support a consistent administrative approach as determined by the CO.
- Researches, applies for and coordinates available grants and makes recommendations to the department senior manager on grant opportunities. Liaises with various internal and external stakeholders in a variety of capacities related to assigned projects including attendance at meetings as required.
- Assists with the preparation of corporate business plans as directed. Creates and maintains records, databases and reports on EDMS.
- Participates as a member of the Emergency Management Team as required. Performs other related duties as required.
QUALIFICATIONS
- Diploma in business management/administration, office administration or a related program from an accredited educational institution. Other accredited diploma programs may be considered.
- Local Government Administration Certificate is considered an asset.
- Change management certification, project management certification or process enhancement certification (e.g. Lean Six Sigma) is considered an asset.
- Minimum of three (3) years of related and progressive experience preferably in a local and/or regional government setting. A combination of education and experience may be considered.
- Minimum of one (1) year experience in a supervisory role.
- Completion of the WorkSafeBC Supervising for Safety ( http://www.supervisingforsafety.com/)training.
- Ability to pass and maintain a criminal record check.
- Valid BC Driver's Licence.
The salary range for this exempt position is $85,219 - $98,792 per year. In addition, the ROOS offers an attractive benefits package, pension and flexible schedule.
