Buffalo Trail Public Schools is seeking a highly organized, professional, and collaborative Executive Assistant to provide high-level executive, administrative, and operational support to the Assistant Superintendent – Human Resources.

This is an exciting opportunity to become a key member of our Central Services team, supporting Human Resources across the division while working closely with the Assistant Superintendent – Human Resources in a dynamic and collaborative environment.

About the Role

Reporting to the Assistant Superintendent – Human Resources, the Executive Assistant provides executive, administrative, and operational support while contributing to the effective delivery of Human Resources services across the division.

This role offers a unique opportunity to work across a diverse Human Resources portfolio that includes recruitment, staffing, employee support, organizational initiatives, reporting, and continuous improvement. Success in this role requires sound judgment, exceptional organizational skills, attention to detail, and the ability to manage multiple priorities while maintaining the highest level of confidentiality.

What You'll Do

  • Provide executive and administrative support to the Assistant Superintendent – Human Resources.
  • Coordinate recruitment, staffing, onboarding, and employee transition processes.
  • Prepare confidential correspondence, reports, presentations, and other Human Resources documentation.
  • Support employee records, leave processes, Occupational Health and Safety, and other Human Resources initiatives in collaboration with internal stakeholders.
  • Coordinate Human Resources projects and divisional initiatives while tracking timelines, preparing documentation, and supporting implementation.
  • Build collaborative relationships while providing responsive, professional, and solutions-focused support to principals, employees, applicants, and divisional partners.

Qualifications and Experience

  • Diploma or certificate in Business Administration, Office Administration, Human Resources, or a related field is preferred. Equivalent combinations of education and experience may be considered.
  • Several years of progressively responsible administrative experience, preferably supporting senior leadership within education, government, or another complex professional environment.
  • Experience coordinating projects and initiatives, or education or training related to project management, would be considered an asset.
  • Strong proficiency with Google Workspace and Microsoft Office applications.
  • Other qualifications the Division may find appropriate and acceptable.
