Position Summary

The Morgan Arboretum is a non-profit forest education center associated with McGill University, located on Macdonald Campus in Ste.-Anne-de-Bellevue, open 7 days a week. Reporting to the Director, the incumbent will manage the overall administrative, financial, and operational activities of the Morgan Arboretum to ensure efficient day-to-day operations. The position serves as the primary administrative resource, liaising with internal university units and external partners.

Primary Responsibilities

  • Supervision of front-line staff and seasonal staff; including onboarding, training, development and delegation of tasks.

  • Lead full-cycle recruitment, onboarding, scheduling, ensuring compliance with employment standards and relative collective agreements

  • Develop, monitor, and reconcile operating budgets, including forecasting revenues and expenses and preparing regular financial reports and variance analyses

  • Process and oversee financial transactions (invoices, deposits, purchase orders, P-card expenses), maintain petty cash, and ensure compliance with financial policies and regulations

  • Administer not-for-profit financial requirements, including regulatory compliance and reporting, and support audit processes

  • Execute HR processes using Workday, track staff hours, and administer government-funded student employment programs, including application, reporting, and compliance

  • Oversee membership programs, including annual campaigns, renewals, invoicing, database management, and member communications

  • Serve as the primary point of contact for visitors, members, and stakeholders; respond to inquiries, resolve issues, and ensure a high standard of customer service

  • Oversee site usage, bookings, and rentals (e.g., events, tours, film productions), including preparing agreements, managing schedules, and ensuring compliance with conditions

  • Support policy development, operational improvements, volunteer coordination, and special projects in collaboration with the Director, ensuring alignment with organizational goals

Other Qualifying Skills and/or Abilities

  • Strong knowledge of budgeting, financial reporting, and reconciliation processes

  • Experience with HR systems and processes (e.g., Workday)

  • Proficiency with Microsoft Office, especially Excel (Pivot Tables), and database systems

  • Strong analytical, organizational, and problem-solving skills

  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment-

  • Excellent interpersonal and customer service skills

  • Ability to work independently and collaboratively

  • Strong communication skills in English (written and spoken); spoken French required, written French is an asset
