Position Summary
The Morgan Arboretum is a non-profit forest education center associated with McGill University, located on Macdonald Campus in Ste.-Anne-de-Bellevue, open 7 days a week. Reporting to the Director, the incumbent will manage the overall administrative, financial, and operational activities of the Morgan Arboretum to ensure efficient day-to-day operations. The position serves as the primary administrative resource, liaising with internal university units and external partners.
Primary Responsibilities
Supervision of front-line staff and seasonal staff; including onboarding, training, development and delegation of tasks.
Lead full-cycle recruitment, onboarding, scheduling, ensuring compliance with employment standards and relative collective agreements
Develop, monitor, and reconcile operating budgets, including forecasting revenues and expenses and preparing regular financial reports and variance analyses
Process and oversee financial transactions (invoices, deposits, purchase orders, P-card expenses), maintain petty cash, and ensure compliance with financial policies and regulations
Administer not-for-profit financial requirements, including regulatory compliance and reporting, and support audit processes
Execute HR processes using Workday, track staff hours, and administer government-funded student employment programs, including application, reporting, and compliance
Oversee membership programs, including annual campaigns, renewals, invoicing, database management, and member communications
Serve as the primary point of contact for visitors, members, and stakeholders; respond to inquiries, resolve issues, and ensure a high standard of customer service
Oversee site usage, bookings, and rentals (e.g., events, tours, film productions), including preparing agreements, managing schedules, and ensuring compliance with conditions
Support policy development, operational improvements, volunteer coordination, and special projects in collaboration with the Director, ensuring alignment with organizational goals
Other Qualifying Skills and/or Abilities
Strong knowledge of budgeting, financial reporting, and reconciliation processes
Experience with HR systems and processes (e.g., Workday)
Proficiency with Microsoft Office, especially Excel (Pivot Tables), and database systems
Strong analytical, organizational, and problem-solving skills
Ability to manage multiple priorities and meet deadlines in a fast-paced environment-
Excellent interpersonal and customer service skills
Ability to work independently and collaboratively
Strong communication skills in English (written and spoken); spoken French required, written French is an asset
