Role: Administrative Assistant

Location: Burnaby, BC On-Site

Salary Range: $50,000 - $55,000

The Role

The Administrative Assistant plays a key role in creating a welcoming, organized, and professional office environment while providing front desk, reception, and administrative support to employees, customers, vendors, and visitors. This role is responsible for coordinating daily office operations, managing calls, mail, supplies, travel bookings, customer tours, and employee purchase requests, while supporting internal communications, events, meetings, and general document management. As a trusted support role, the Administrative Assistant helps ensure smooth day-to-day operations while maintaining confidentiality and delivering a positive Watson Gloves experience.

YOUR core responsibilities

Front Desk & Reception

  • Professionally answer, screen, and direct incoming phone calls and emails.

  • Greet guests in a warm and professional manner

  • Maintain the phone system ensuring updated greetings for office hours or company closures.

  • Welcome visitors, clients, and vendors in a professional and friendly manner while coordinating arrival notifications with internal staff.

  • Handle basic customer and vendor inquiries and forward to the appropriate staff

  • Ensure the reception area is well maintained and tidy; decorating for special occasions

  • Report facilities issues (e.g., maintenance, security, IT-related issues) to appropriate departments.

  • Provide information to customers and vendors without appointments, ensuring a positive experience.

  • Receive and sort incoming mail and deliveries for distribution to recipients or transfer to BBY2.

  • Manage the process for outbound mail and courier services.

Administrative Support

  • Manage office, coffee stations, lunchrooms and boardrooms:

  • Replenish, order and maintain inventory.

  • Ensure areas are tidy, organized, stocked and properly set up for meetings.

  • Ensure lunchrooms are cleaned out on a regular basis

  • Manage the budget for supplies, finding cost savings where able.

  • Manage and process monthly employee purchase requests, ensuring accuracy and timely completion.

  • Process credit card charges through Bambora.

  • Scan end of day Picking Tickets from the Warehouse.

  • Complete corporate travel bookings for all employees (except Executives), including transportation and accommodation, as requested.

  • Notify HR of Canada-US trips for travel letters and update the travel tracker

  • Save travel bookings in the travel folder and in the travel calendar

  • Send travel invoices to Accounts Payable

  • Notify Sr. Director of Corporate Social Responsibility of flights for AGM

  • Liaise with Marketing and sales team for tradeshow travel bookings

  • Assist travelers in booking offsite meeting rooms (i.e. meeting room in hotel)

  • Coordinate customer tours by booking meeting rooms and arrange with Production Manager if factory tour is needed

  • Assist with onboarding new team members’ office supplies

  • Assist in providing SWAG and updating the inventory spreadsheet

  • Coordinate catering deliveries for team lunches

  • Forward calendar bookings for company wide meetings and events to new team members.

  • Perform general administrative duties, data entry, and document management

  • Prepare correspondence, reports, and other documents as needed

Office Coordination & Operations

  • Maintain a clean, organized, and professional office environment

  • Assist with internal communications and announcements

  • Assist Sr. Director of Corporate Social Responsibility in event planning:

  • Volunteer events

  • Social Committee events (Halloween, Social Lunches, Summer Tailgate)

  • Active member of the Green Team and Social Committee

  • Assist in maintaining inventory of internal SWAG

  • Assist Executive Assistant on set-ups for Executive meetings, townhalls etc.

  • Provide back-up coverage for Executive Assistant as required

  • Assist Executive Chairman when requested

  • Ensure confidentiality of sensitive information

What YOU BRING to Watson Gloves

  • 2+ years of administrative or reception experience.

  • Minimum high school diploma.

  • Excellent written and verbal communication skills.

  • Strong customer service, organizational, time management and critical thinking skills.

  • Strong computer skills: Outlook, Word, Excel.

  • Capable of handling 30+ calls per day efficiently and effectively.

  • Ability to work under pressure and multitask.

  • Team player, proactive and eager to learn
