Administrative Assistant - Protective Services

Overview

The Administrative Assistant – Protective Services is responsible for providing day-to-day office administrative functions and support for the Protective Services Department, including Community Safety, Bylaw and Emergency Operations, with completion of activities and projects to support the mandate of the Department.

Responsibilities

1. Provide excellent customer service:

  • Respond to front counter, telephone and e-mail inquiries, complaints and concerns in a timely manner.
  • Log and track service requests received from the public.
  • Respond to information requests from the public and internal staff.
  • Review and respond to shared inboxes and calendar requests

2. Provide administrative support to the Protective Services Department including but not limited to:

  • Prepare correspondence and reports.
  • Prepare meeting agendas and packages, create PowerPoint presentations and take meeting minutes.
  • Enter and update information in department records and tracking systems.
  • Administer and maintain Protective Services record keeping for training and incident reports.
  • Process Protective Services account receivable and payable items.
  • Assist with supporting the False Alarms program.
  • Assist with supporting Community Safety programs.

3. Provide administrative support to the Manager, Protective Services including:

  • Maintain departmental records and filing systems.
  • Prepare and process court-related documents as required.
  • Code and process invoices to the appropriate general ledger (GL) accounts.
  • Reconcile purchase card transactions monthly
  • Track and follow up on service requests related to RDCO Protective Services.

4. Support other positions at the RDCO as directed.

5. Other duties as assigned.

Qualifications

Training and Experience Required

  • Certificate in Office Administration.
  • Minimum two years’ experience in a related discipline.
  • Must be able to meet and maintain RCMP Security Clearance status.
  • Valid Class 5 BC Driver’s Licence.

Knowledge, Skills and Abilities Required:

  • Strong organizational and time management skills.
  • Working knowledge and experience with accounting procedures.
  • Excellent communication skills, both written and verbal.
  • Customer service focused with courtesy and good judgement.
  • Advanced skills in Word, Excel, Outlook, PowerPoint, creating and maintaining databases, taking meeting minutes.
  • Knowledge of GIS.
  • Knowledge of Vadim software.
  • Keyboarding 50 WPM.
  • Knowledge of RDCO bylaws, policy and procedures.

Work Conditions

Physical Effort: Intermittent keyboarding and data entry. Occasional lifting and carrying of office supplies.

Physical Environment: Office Environment.

Mental Stress: Meeting deadlines, dealing with the public and multitasking.

Sensory Attention: Periods of concentration required for detailed clerical duties while dealing with interruptions. Situational awareness when dealing with the public.

Additional Information

This is a full time, permanent CUPE 338 that works a schedule of Monday to Friday, 8:00 am to 4:00 pm with a one-hour unpaid lunch. This job opening closes on the evening of Sunday, July 19th, 2026.
