Position Title

Administrative Officer, Teaching, Learning and Scholarship

Position Summary

The Administrative Officer, Teaching, Learning and Scholarship is responsible for the day-to-day management and coordination of activities of the Office of the Associate Vice President, Academic, including the individual departments reporting to the Associate Vice President, Academic. The position provides direct support to the Leadership Team, requiring an understanding and ability to represent the position and priorities of these Academic Offices.

This position performs a wide variety of administrative support services, ranging from routine to complex, all of which contribute to the efficient and professional operation of these areas. The incumbent must have the ability to interpret and make decisions in accordance with procedures and practices of the organization and must be flexible and demonstrate the ability to maintain confidentiality, diplomacy, and tact at all times.

Position Responsibilities Administrative Support

  • Prepares, gathers, and submits information and data as required for polytechnic accountability reports in compliance with the guidelines provided by RDP governance and Associate Vice President, Academic
  • Prepares, gathers, and relays confidential information to staff and clients on a regular basis
  • Manages the extensive and constantly changing schedules for the Associate Vice President, Academic by identifying priorities and organizing workflow activities in order to ensure that competing demands on the Associate Vice President, Academic’s time are appropriately managed
  • Prepares purchasing card statements and expense claims for the leadership
  • Coordinates travel arrangements, course/conference registration for the leadership
  • Coordinates office allocations, moves and equipment needs in consultation with the Operations Coordinator and Campus Management
  • Coordinates and acts as a resource for faculty and staff evaluations within the performance appraisal process as per RDP policy and procedure, with direction from the Operations Coordinator. Enters evaluations in Banner.
  • Manages Program Review schedule of academic program reviews. Meets with Associate Deans on an annual basis to review and determine reviews for the upcoming year. Coordinates, in consultation with the Chairs of Program Review Committee and Associate Deans, the presentation of program review action plans and the subsequent completion memos to the office of the Vice President Academic and Student Experience. Provides assistance to projects or committees, providing meeting logistic support such as preparing and distributing meeting documentation (e.g. agenda packages, minutes, supporting documents, etc.), all meeting arrangements (e.g. venue, coordination of participants, catering, etc.), and any follow-up on items (e.g. document or report management).
  • Provides meeting support for: Research Ethics Board, Scholarly Activity Committee, LMS Steering Sub-Committee, Research Common Planning Group, and other committees, as needed
  • Determines, in collaboration with the Centre Communications Team, how communications will be distributed to various appropriate groups (i.e. staff, faculty); this includes creating and applying guidelines which dictate the medium used to communicate the information, the frequency of information sharing, and format.
  • Ensures editorial updates in consultation with content creators for CTLS and Research webpages
  • Orders office supplies, nametags and business cards and ensures supplies are available
  • Maintains the RDP Internal Directory and email distribution lists for the Centre
  • Maintains division organizational charts
  • Ensures a safe and healthy work environment by complying with polytechnic health and safety policies, standard practices, and programs in keeping with occupational health & safety legislation and regulations
  • Creates office procedures within the division and documents in office procedures manuals
  • Supports event planning for various CTLS initiatives such as, but not limited to ETaL Capstone Event and Research Showcase
  • Performs other related duties as assigned

Programming Support

  • Oversees completion and submission of Career Development documentation standards required to maintain accreditation through Continuing Education and Corporate Training
  • Manages annual program planning including documenting Career Development Certificate requirements, preparation of program and course documentation, and delivery schedule
  • Leads the coordination of program timetabling with Continuing Education and Corporate Training for Excellence in Teaching and Learning Career Development Certificate (ETaL) (accredited through Continuing Education and Corporate Training)
  • Communicates program offerings to faculty and staff
  • Assists faculty with assessing module/course need and course selection, and with the registration process
  • Monitors incoming registrations to ensure faculty required to complete Introduction to Teaching and Learning at RDP (ITL) have been enrolled, also that faculty enrolled in the ETaL certificate program meet graduation requirements
  • Creates admission records in Banner
  • Registers participants and facilitates withdrawals as needed in Banner
  • Monitors and records program participant progress and tracks program pathway, including completion status
  • Advises on graduation requirements and program completion pathways
  • Liaises with the Vice President Academic and Student Experience office regarding ITL completion certificates
  • Coordinates initial scheduling of various programs both internally to the Centre and externally throughout the polytechnic to ensure program schedule is feasible, including but not limited to:
  • Introduction to Teaching and Learning (two to three offerings per year)
  • Introduction to Online Teaching and Learning (two to three offerings per year)
  • Excellence in Teaching and Learning (two to three streams x three years each year)
  • Excellence in Online Teaching and Learning Levels 1 and 2 (one to two times per year)
  • SGIF and Peer Observer training (two to three times per year)
  • Indigenization: Foundations and Context Course (one to two offerings per year)
  • Coordinates multiple schedules of facilitators and participants involved in the programs listed, above
  • Monitors enrolment and retention to ensure adequate offerings to accommodate demand
  • Plans, oversees, and completes follow up related to the Capstone Event (graduation for the ETaL program)
  • Acts as the first point of CTLS contact for new Red Deer Polytechnic faculty
  • Ensures the day-to-day Teaching Development Program issues are addressed or responded to in a timely manner
  • Makes decisions within established guidelines regarding faculty members who are required to modify their program path due to unforeseen circumstances

Hiring Process, Job Postings, Onboarding Support

  • Creates and uploads job postings and required documentation to PeopleAdmin as directed by the Operations Coordinator
  • Facilitates the recruitment and hiring process by providing hiring committees the required access to documents, scheduling interviews, and booking facilities/resources required
  • Manages PeopleAdmin documentation and archiving as per institution standards and policies
  • Ensures new staff & faculty have access to resources, tools, and working spaces required
  • Collaborates with People & Culture to enroll new staff and faculty in institution onboarding program
  • Coordinates onboarding for new staff and faculty by preparing workstation, ordering supplies, providing the required handbooks/manuals, and booking required meetings/training
  • Arranges administrative resources for all employees, as needed, in the division (e.g. keys, computer access, phone and voicemail, office signage, mailboxes, etc.)
  • Ensures exit procedures are followed to ensure the appropriate collection and tracking of information

External Liaison Assistance

  • In consultation with the Science Lab Manager/Biosafety Officer/Animal Care Lead, ensures RDP meets the requirements to maintain the Good Animal Practice Certification with the Canadian Council on Animal Care
  • Acts as Animal Care Coordinator, in collaboration with Olds College and the Science Lab Manager/Biosafety Officer/Animal Care Lead

Continuous Growth and Acquisition of New Skills

  • Actively participates in training and professional development activities as the become available
  • Actively acquires knowledge and skills related to the position
  • Familiarizes self with policy and procedures in order to meet user needs

Required Qualifications

  • Office Administration Diploma or equivalent
  • 3 to 5 years of previous job-related experience

Preferred Qualifications

  • Relevant experience working with a professional office team, ensuring confidentiality, integrity, diplomacy, professionalism, and tact at all times
  • Understanding and knowledge of the administration of a post-secondary institution is preferred
  • Proficiency in proofreading, grammar skills, attention to detail
  • Strong multi-tasking abilities, interpersonal communication skills, problem-solving skills
  • Demonstrated experience coordinating events at all phases from planning through to delivery
  • Experience working with industry and the public an asset
  • Understanding of how projects are managed and implemented
  • High level of expertise in all areas of modern office practice and procedures
  • Ability to work independently and as a member of a team
