DHL Express currently has an opening for an 12-Month Contract Debrief Coordinator role in our facility located in Halifax, NS . As a Debrief Coordinator, you will play a crucial role in ensuring operational efficiency by managing scanner and vehicle technology, conducting driver debriefs, and maintaining compliance across various systems and processes. You will work closely with supervisors, drivers, and other key stakeholders to ensure smooth daily operations and timely resolution of issues. You will contribute to operational excellence by ensuring drivers and equipment are well-managed, compliance is maintained, and all issues are addressed promptly.
Driver Debrief & Compliance
- Conduct debriefs for all the drivers in person at the time of arrival into facility, and including mobile debriefs when applicable.
- Audit drivers to ensure all shipments are accounted for and report and address any discrepancies.
- Verify debrief tool checkpoints, including deliveries and pickups, and address non-compliance issues with drivers.
- Ensure shipments are appropriately labeled (e.g., SI stickers, undeliverable stickers).
- Reconcile On-Road Undeliverable (ORU) and update ECIS and AQCC records.
- Review debrief data against GPS/Geotab tracking data to identify and investigate any unscheduled stops.
- Count and reconcile all the undelivered and export shipments physically by capturing the proper check points.
Invoice & Reporting
- Review and verify invoices through OPMS/Debrief tools, ensuring timely and accurate submissions.
- Ensure all invoice columns are properly filled and resolve discrepancies promptly.
- File Collection Reports and distribute Exceptional and Debrief Reports via email.
Scanner & Technology Management
- Distribute and track scanners and keys, ensuring proper charging, troubleshooting, and repairs.
- Address and resolve scanner-related issues, such as storage capacity, screen damage, and font size adjustments and manage scanner returns and maintenance.
- Troubleshoot and resolve GCA-related issues on driver scanners, collaborating with IT and PUD supervisors when necessary.
- Print and update GCA QR codes as required.
- Ensure drivers are correctly logged into Geotab for tracking.
Fleet & Vehicle Coordination
- Collect vehicle and manage keys upon return
- Work alongside the fleet champion to maximize vehicle availability and active service.
- Follow up on vehicle-related issues for company-owned vehicles, including scheduling maintenance and repairs (e.g., tires, towing).
- Maintain an inventory of vehicle equipment (e.g., load bars, straps, and dollies).
- Report all driver incidents, accidents, and any vehicle damages to the appropriate management through physical audit/spot checks.
- Audit driver Geotab to ensure pre/post trip inspections are consistently completed.
- Update employee license plate information in Impark and follow up via email when required.
Workspace Organization & Maintenance
- Keep the workspace clean, organized, and efficient, including keys, files, scanners, driver supplies, and paperwork.
- Ensure that all equipment and supplies are properly stored and accessible for supervisors and drivers.
- Maintain an orderly environment to support smooth operations and easy retrieval of necessary materials.
Schedule/Shift:
- 10:30 AM - 7 PM, Monday to Friday
- Flexible to work different shifts due to rotations or vacation coverage as per operations requirement
Skills/Qualification:
- A minimum of grade 12 schooling or equivalent
- Excellent written and verbal communication skills and interpersonal style
- Good clear command of the English language
- Excellent organizational skills, including ability to prioritize workload
- Demonstrated exceptional customer service experience and focus
- Ability to effectively contribute as a team member as part of a busy team
- Prior experience in a transport industry preferable
- Proven ability to work under pressure in a fast paced, time sensitive environment
- Demonstrated ability to use initiative/judgement to solve job related issues
- Demonstrated attention to detail
- Ability to analyze data for inconsistencies is an asset
- Computer Literacy, including proficiency in MS Word, Excel, and Outlook.
- Sound educational background, with basic knowledge of the Service Industry
