Job Responsibilities
Reporting to the Payroll Supervisor, this position is responsible for:
- Collecting, processing, reconciling and auditing payroll timecards and various related activities to ensure all employees paid accurately and on time.
- Coordinate within department and operations clients for timely completion and review of time entry.
- Ensuring reimbursements are in compliance with Corporate Policies and Collective Agreements. Liaising with accounting to maintain business units, object codes and sub ledgers.
- Ensuring that all time reporting and reimbursements are in accordance with the Union Agreements, Town policies and the Employment Standards Act and follow-up with Manager/ Employee / Director, if not in compliance.
- Administer the onboarding of various types of new hires by tracking down and interpreting COS forms.
- Administer the offboarding process of various types of terminations by tracking down and interpreting COS forms and preparing ROEs.
- Month end and quarterly reporting and related GL account reconciliations.
- Developing and maintaining payroll process documentation.
- Train new operational users on various payroll applications and work with IT to resolve issues.
- Preparing confirmation of employment letters, address changes, T4 reprints as required by staff.
- Responding promptly and accurately to all customer inquiries for all services provided by the Payroll division including training of operational employees on timesheet submission.
- Participating in and presenting at departmental meetings.
- Staying current in applicable legislation and applying it to everyday responsibilities.
- Act as back up to the Payroll Supervisor as needed.
- Perform other duties as assigned.
Qualifications
- Minimum 2-year college diploma in Business and/or Accounting or related field, combined with a CPA’s Payroll Compliance Practitioner (PCP) certification is required.
- At least three years of related experience working in a dynamic, high volume unionized payroll environment.
- Must demonstrate proactive work ethic and a track record of dealing with change.
- Proficient data entry and calculation skills, along with a proven aptitude for figures are essential.
- Intermediate Excel skills are required.
- Strong communication and presentation skills are needed.
- Experience working with JD Edwards is considered an asset.
- Must demonstrate ability to respect confidentiality, display discretion and good judgment.
