As the Administrative Assistant, you will play an integral role in supporting the daily operations and priorities of the Administration department while contributing to the overall success of the site. You will be responsible for coordinating a variety of administrative activities, communications and operational processes that support the delivery of quality care and services. This position offers an opportunity to work closely with interdisciplinary teams across the site while gaining exposure to healthcare operations and organizational initiatives. You will build expertise in meeting coordination, reporting, office administration and stakeholder communication while making a meaningful contribution to the experience of residents, families and staff at St. Joseph's Auxiliary Hospital.

The Administrative Assistant provides administrative support to site leadership, including the Program Manager (Administration), Program Manager (Continuing Care) and site-level support to the Senior Director of Operations in collaboration with the SDO's Administrative Assistant. This individual will serve as a key resource for the site. Responsibilities include coordinating calendars and meetings, preparing agendas, meeting minutes and correspondence, supporting financial and statistical reporting, maintaining confidential information and ensuring the efficient operation of the office. The successful candidate will bring exceptional organizational skills, strong attention to detail and the ability to manage multiple priorities in a fast-paced healthcare environment. They will be responsible for coordinating site activities, maintaining administrative systems and act as a key point of contact for internal and external stakeholders. The role contributes to maintaining effective administrative processes that support the day-to-day operations of the facility. Experience supporting senior leaders, coordinating complex schedules and working with confidential information is essential. Required Qualifications

Must have related post-secondary certificate or an equivalent combination of education and experience. Minimum 5 years recent and directly related secretarial/administrative experience. Proficient in Microsoft 365 applications (Excel, PowerPoint, Outlook, Teams, OneDrive, and SharePoint).

Additional Required Qualifications

Ability to thrive in a fast-paced office, managing multiple priorities. Experience coordinating schedules/calendars/meetings and organizing special events. Strong interpersonal skills with the ability to collaborate effectively with diverse stakeholders. Ability to work independently and as part of a team in a dynamic environment. Demonstrated experience with records management, reporting and administrative processes. Strong computer skills with the ability to quickly learn new systems.

Preferred Qualifications

Completion of an Office Administration program preferred. Recent experience in project and event coordination. Administrative experience in a long-term care or healthcare facility an asset. Working knowledge of Connect Care, e-Facilities, IT Service Portal, RMS, iExpense, Markview and supply procurement processes an asset.
