The Payroll & Benefits Manager is responsible for the end-to-end management of payroll and benefits across DFI's Canadian, United States, and Australian operations. This role goes beyond transactional processing. It is a leadership position that owns the payroll function, oversees a Payroll Administrator, and serves as DFI's primary subject-matter expert on all payroll and benefits plan matters. The successful candidate will partner closely with the Controller, CFO, and VP HR to ensure accuracy and continuity across seven payroll cycles, drive meaningful analysis and reporting, and bring forward process improvements over time. This is a genuine step up for a senior payroll professional ready to take full ownership of a multi-entity, multi-jurisdictional function.
Responsibilities
Own end-to-end processing of all seven payrolls across Canada, the United States, and Australia, ensuring accuracy, completeness, and on-time delivery.Process Canadian and US payrolls in Eclipse; coordinate Australian payroll through ADP, ensuring inputs are complete and accurate.Monitor time entry and approvals submitted through the internal mobile app; perform final batch approval and review job coding accuracy across field and shop operations.Administer intercompany and inter-entity payroll allocations across four operating companies and a holding company.Ensure all payroll working papers are balanced each month, including benefit liability accounts, RRSP accounts, employee receivable accounts, and charge-backs.Review system-generated journal entries and prepare manual adjusting entries, including prior-period adjustments; calculate and process day-rate employees.Administer all group benefits plans across Canada (Canada Life), the United States (two carriers), and Australia (ADP); manage enrolments, terminations, deduction processing, and annual renewals.Administer employer-sponsored retirement plans: RRSP (Canada) with employer match, 401(k) (United States), and superannuation (Australia through ADP).Serve as DFI's primary point of contact with the Canada Revenue Agency; manage provincial tax filings (Alberta, BC, Saskatchewan), WCB filings, and US multi-state tax compliance.Produce and file Canadian year-end tax forms (T4, T4A, T2200) and US W-2s; manage the year-end cycle alongside ongoing processing.Prepare and interpret payroll and benefits reports for the Controller, CFO, and HR Director; build cost models and scenarios to support business decisions.Supervise, support, and develop the Payroll Administrator; set standards, review work, and build appropriate back-up coverage for the function.Identify opportunities to improve, automate, or streamline payroll processes; contribute to payroll policy development over time.Other duties as assigned.
Qualifications
Payroll Compliance Practitioner (PCP) designation required; Certified Payroll Manager (CPM) completed or in progress strongly preferred.Progressive full-cycle payroll experience across multiple payroll frequencies and both hourly and salaried employee populations.Solid knowledge of Canadian payroll legislation and compliance, including CRA remittances and reporting, statutory deductions, provincial filings, WCB, and year-end.Good working knowledge of US payroll, including multi-state tax and compliance considerations.Group benefits administration experience: enrolments, terminations, deduction management, carrier reconciliation, and renewal support.Experience administering employer-sponsored retirement plans (RRSP and/or 401(k)), including employer matching, deductions, and remittances.Month-end payroll accounting experience: working papers, liability account reconciliation, journal entries, and adjusting entries.Intermediate to advanced Excel skills, including pivot tables, VLOOKUP/HLOOKUP/XLOOKUP, and strong data analysis and presentation capability.People management or supervisory experience, or demonstrated management mindset and readiness to lead a payroll function.Proven ability to learn non-standard systems independently and resolve issues without hand-holding.Multi-entity, intercompany, or multi-currency payroll exposure is an asset.Experience in construction, oilfield services, or industrial services with job costing and cost code environments is an asset.Experience contributing to payroll policy development, system implementation, or process automation is an asset.
