Coast Canmore Hotel & Conference Centre is located in central Canmore.

We are seeking a Conference Services Manager.

Nestled in the heart of the Rockies, the Coast Canmore Hotel & Conference Centre is a 164-room, full-service property featuring 10,000 sq. ft. of flexible meeting and event space, and our signature restaurant, Table Food + Drink. We're searching for a superstar

Conference Services Manager to take the lead in planning and executing memorable conferences, meetings, weddings, and special events.

You'll be the primary point of contact for clients once their event is contracted, guiding them through every stage of the planning process. Working closely with our Sales, Food & Beverage, Banquets, Front Office, Housekeeping, and Operations teams, you'll ensure every detail is coordinated flawlessly, from initial planning through to final billing.

Duties Include

  • Serve as the primary contact for group and event clients, building strong relationships through exceptional communication, organization, and attention to detail.
  • Coordinate all event details including guestroom requirements, rooming lists, catering functions, meeting space, audiovisual needs, transportation, and special requests.
  • Conduct planning calls, site visits, and pre-conference meetings to ensure client expectations are clearly understood and communicated.
  • Prepare detailed Banquet Event Orders (BEOs), Group Resumes, Rooming Lists, and event documentation to support flawless execution across all hotel departments.
  • Collaborate closely with Front Office, Banquets, Culinary, Housekeeping, Maintenance, and Sales teams to ensure seamless event delivery.
  • Manage event changes, communicate updates promptly, and ensure all departments remain informed throughout the planning process.
  • Serve as the on-site contact for groups and events, assisting clients and ensuring all functions run smoothly.
  • Coordinate VIP arrivals, welcome amenities, special requests, and dietary requirements to enhance the guest experience.
  • Lead and participate in weekly BEO, resume, and operations meetings to ensure event details are reviewed and communicated accurately.
  • Review billing instructions, verify event charges, and support the preparation of accurate final invoices.
  • Conduct post-event follow-up with clients to gather feedback, address any concerns, and strengthen long-term relationships.
  • Maintain accurate event records and ensure all contractual commitments and service standards are delivered as agreed.

What You Bring

  • Minimum 2-3 years of experience in Conference Services, Catering, Event Management, or Group Coordination within a hotel, resort, or conference centre.
  • Exceptional organizational and time management skills with the ability to manage multiple events simultaneously.
  • Strong communication and interpersonal skills with a passion for delivering outstanding client service.
  • A solid understanding of event logistics, banquet operations, guestroom management, and food and beverage coordination.
  • Experience preparing BEOs, Group Resumes, Rooming Lists, and event-related documentation.
  • Experience with hotel systems such as Infor HMS, OPERA, Delphi, or similar hospitality software is considered an asset.
  • A proactive, detail-oriented, and collaborative approach to problem-solving.
  • Ability to remain calm, professional, and solutions-focused in a fast-paced environment.
