Job Description

The Administrative Assistant supports operations by providing administrative, accounts receivables and clerical support.

Main Responsibilities

  • Enters data from various sources to maintain and update databases and spreadsheets;
  • Ensures data integrity by verifying input and calculations;
  • Maintains organized computer and/or hard copy files for easy identification and retrieval;
  • Prepares purchase orders;
  • Processes invoices;
  • Resolves payment problems for suppliers;
  • Answers the telephone and provides basic information;
  • Preparation of various paperwork, including but not limited to invoices and accounts receivables;
  • Maintain accruals;
  • Coding of expenses in Concur;
  • Corresponds with customers via email and provides basic information;
  • All other related tasks.

Qualifications

Experience, Knowledge and Skills:

  • Minimum of High School diploma;
  • Experience in a financial environment or related field is an definite asset;
  • Experience and understanding of office functions;
  • Experience in a Concur, Ariba and Exacc environment would be an asset;
  • Understanding of basic accounting/AP/AR cycle;
  • Pay close attention to details and present good planning, organization and time management skills;
  • Effective oral and written communication skills, good vocabulary, grammar, good soft skills and the ability to independently compose routine written communications;
  • Work effectively with interruptions;
  • Handle confidential and sensitive information or issues;
  • Good telephone etiquette;
  • Supports division by providing administrative and clerical support;
  • Work in a team environment and willing to assume additional or new responsibilities readily;
  • Computer proficiency with good working knowledge of Excel (formulas, pivot tables, etc.) and Word.

Working Environment

This is a permanent and full-time position, with a working schedule from Monday to Friday, day shifts (8:00 to 4:30).

The job holder spends most of their time in an office environment in our Chatham location. The position may require prolonged periods of sitting; working on the telephone and/or computer, as well as interactions with other staff members and customers.
