Job Summary & Requirements
Reporting into the Manager of the Emergency Department, the Non-Clinical Supervisor is a leadership role responsible for the daily management of the ED clerical team. This role is crucial in recruiting, retaining, and supporting clerical staff ensuring the accuracy of data entry through rigorous auditing of registration processes.
The ideal candidate is a self-motivated, well-organized individual who thrives in a dynamic environment and enjoys the challenges of supporting a diverse team., This role requires a strong ability to meet deadlines, actively listen, and value the input of others while developing processes to enhance workflows. The Non-Clinical Supervisor is also responsible for promoting workplace safety, providing consistent staff support, and addressing customer service and service recovery issues escalated by patients and families. Additional responsibilities include assisting the staffing clerk with scheduling and leading the development and oversight of orientation and performance evaluations.

Responsibilities:
- Ensure the safety and proper utilization of all assets (equipment).
- Foster a welcoming environment for healthcare team members and patients
- Develop and manage office protocols to optimize efficiency and daily operations.
- Maintaining flexibility in responding to urgent requests and changing priorities.
- Professionally interact with internal and external contacts
- Attend meetings and run meetings related to clerical activities in the ED
- Schedule and lead clerical operations meetings.
- Collaborate with clinical staff related to oversee Registration processes, ensuring data accuracy and high-quality standards.
- Support the department in maintaining a positive and safe work environment.
- Work collaboratively with internal departments to ensure customer service standards.
- Promote health quality for all, including Indigenous peoples of North Simcoe Muskoka.
- Support ED leadership team in areas such as staffing, scheduling, attendance management, orientation, performance appraisals, maintaining and establishing patient care standards; policies and procedures and other projects that arise.
- Monitor and audit clerical processes to ensure the accuracy and integrity of data entry in registration and all clerical systems.
- Provide regular feedback to staff on data quality issues and implement quality improvement initiatives.
- Utilize change management techniques to improve data quality and adherence to best practices.
- Generate and submit data reports to ED leadership, ensuring compliance with data quality standards.
- Lead clerical staff meetings and manage daily staffing needs,
- Engage staff in workplace improvement discussions.
- Maintain a positive and safe work environment
- Serve as lead user for new information technology systems.
- Review, investigate and complete incident reports. Investigate and address any safety issues, guiding staff as needed.
- Lead and participate in Quality Improvement (QI) projects related to clerical workflows and data quality.
- Actively participate in recruitment, onboarding and orientation of new clerical staff
- Maintain confidentiality and security information
- Other responsibilities as required
