Make an impact with our Office Services team as an Office Administrator. This diverse team of professionals directly contributes to the success of the firm by supporting internal and external clients. As a trusted advisor, you’ll ensure the efficient and effective operation of our business.

This is a temporary placement for 12 months, starting as soon as possible.

Responsibilities

  • Ensure clerical needs are fulfilled, sick/vacation coverage needs
  • Tax Season support to ensure deadlines are met and administrative team is supported
  • Managing Office refreshment/snack needs; including orders and distribution organization
  • Assist leadership with preparing slides, catering and setting up regular partner meetings
  • Assist leadership with travel arrangements, as needed
  • Assist leadership with retreat planning, as needed
  • Assist leadership with meeting bookings and preparation, as needed
  • Event Planning for office as needed
  • Train and support employees on MNP systems and methodologies
  • Ensure that resources and office supplies are available and in good working order, approval of office supply orders made by resource team
  • Maintain office safety and security, an active member of the Health and Safety Committee assisting with office emergency procedures and fire warden duties
  • Liaise with the Regional Office Manager/Resource Manager to establish administrative procedures
  • Point of contact with vendors and MNP clients for escalated A/P and A/R matters
  • Coordinate office activities and operations to secure efficiency and compliance to company policies
  • Point of contact for team members for various inquiries and direct as appropriate
  • Act as building maintenance contact for the office
  • Various office functions such as office communication/updates, opening timesheets, client transfers, WIP transfers
  • Assist with organization, coordination and implementation of office move (June-July 2025) Including file destruction projects and other items as they are identified
  • Finance Department Assistance and Support
  • Assist with team meetings and team event planning as needed
  • Possess working knowledge of all systems used by the Administration team to assist with any inquiries and provide backup, as needed
  • Assist with organization of physical office space on all floors, updating Floor Plans/Seating and maintaining NFS Booking System as needed
  • Assist at reception, as necessary
  • Maintain flexibility to work overtime, as necessary
  • Other office needs as they come up


Skills And Experience

  • Experience in a professional services environment is considered an asset
  • Excellent organizational and time management skills with the ability to manage multiple tasks simultaneously

The annual salary range for this position is: $50,000 - $70,000. Compensation is determined based on individual skills and relevant experience.
