Responsibilities And Duties

  • Providing timely and concise communication between Service Manager, Branch Manager, colleagues, Service Technicians, COR Safety Manager and customers
  • Monitoring, prioritizing and organizing work orders for service and construction technicians to ensure proper completion for payroll and invoicing
  • Accurately and completely process/invoice Work Orders by ordering parts, providing support for Service Dispatch Coordinators. Follow up service calls or quoting parts & labour in accordance with pricing structure provided
  • Create purchase orders and follow through all paperwork to ensure receipt of parts through to the invoicing process. Follow Up delivery times so all team members and customers are informed
  • Coordinate with Customs Brokers, Freight Companies as needed
  • Deal with warranty issues for Construction Projects, Refrigeration Service & Maintenance Contracts
  • Accurately and completely process/invoice Work Orders, quoting on recommended repairs from maintenance inspections and scheduling approved repairs
  • Coordinate with vendors and customers for parts arrival
  • Back Up for phone calls in the Refrigeration Department
  • Back up using Great Plains Software, creating and processing Service Work Orders and Purchase Orders
  • Back up Operating in Great Plains Software Dashboard, coordinate Refrigeration and/or HVAC Preventative Maintenance (PM) schedules as per customer contracts an asset
  • Back up Operating in Great Plains Software Dashboard, receive customer service calls, dispatch service technician according to standard operating procedures and advice from Service Manager and Branch Manager
  • Exceptional communication and organizational skills required
  • Ability to manage multiple tasks in a fast-paced environment
  • Maintain regular consistent and professional attendance, punctuality, office attire adhering to relevant health & safety procedures
  • Provide courteous and professional customer service to customers and colleagues in a Team atmosphere
  • Cross Training with Service Dispatch coordinator position for continuity of workflow during breaks, vacations, leaves
  • When the part has arrived, label the part correctly & ensure all parties are informed, place the part in location/bin for quick & easy identification

Personal & Team Skills

Required Skills and Training/Education:

  • High School Diploma
  • Experience in procurement/purchasing/customer service environment an asset
  • Experience in invoicing/billing and/or service dispatch environment
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Experience working with Great Plains Software or like programs
  • Excellent interpersonal / team building skills, reliable & trustworthy
  • Be adaptable, accountable and an analytic thinker
  • Have reliable transportation
  • Ability to prioritize workload
  • Ability to effectively communicate (verbal and written) in a wide variety of settings with a wide variety of people
  • Effective, organized, time -management and problem-solving skills
  • Demonstrated attention to detail while maintaining a high level of accuracy
  • Ability to work under pressure
