Reporting to the Manager, the Specialty Coordinator provides analytical expertise and leadership in the technical review, evaluation and maintenance of the program documentation and materials, project management tools and executive reports for the department, allowing for effective service provision. Leads various projects and initiatives for the program as they arise, to provide validation and ensure organization-wide and departmental objectives are met. Supports various internal stakeholders and leadership involved with regional specialty to ensure current and relevant programming. Coordinates evaluation, review and development of feedback tools and evaluation activities, and leads the ongoing updating of program courses and materials. Works in collaboration with both the program team and the end-user department(s) on operational projects. Oversees and provides work direction to designated staff, and organizes training and performance management.

As a Specialty Coordinator, Regional Clinical Education with Vancouver Coastal Health you will

  • Identify and understand key issues relating to the program and respective project(s)/initiatives through review and assessment of project and program documentation, SOP’s, program evaluation, survey and client feedback. Under guidance from the department, assess implications associated with each project separately and as a collective and, when necessary, carry out due diligence assessments and report findings to the program Manager.
  • Coordinate and carry out activities according to ongoing prospective program evaluation strategy. Ie. Focus groups, surveys. Collates information and prepare evaluation data/reports for reporting to advisory committee and/or stakeholders.
  • Coordinate program support activities by organizing workflows and determining program priorities, resolving day-to-day issues, and evaluating operating procedures. Delegate specialty tasks to Clinical Education Assistants and monitor performance. Provide feedback and training as necessary.
  • Lead and support the annual service planning process. Liaise with partner department that deliver specialty programming to develop annual schedule in line with other regional/departmental programming.
  • Complete compliance reporting on individual employee course completions and reports to unit leadership. Design workflows for this reporting. Respond to critical incident and employee performance reviews, and may make judgments on timing of clinical education in relation to critical incident to support investigations and potential employee performance evaluations with unit leadership.
  • Coordinate virtual content review cycle. Liaise with Subject Matter Experts by notifying them of outdated specialty material content requiring updates, or content that is up for review, and support by connecting SME’s with applicable resources.
  • Conduct data analysis by utilizing a variety of data manipulation and management techniques and conduct statistical and financial analysis by compiling information, analyzing and interpreting the data and reporting on the findings.
  • Make decisions with regard to the commitment of departmental funds, projects budgetary requirements.
  • Discuss inquiries for information with a variety of senior positions, both internally and externally, in order to obtain and disclose information, and answers non-routine inquiries and complaints by determining the nature of the problem, providing information directly and/or corresponding.
  • Respond to ad hoc requests for information and analysis by researching and gathering information required, manipulating database fields, preparing spreadsheets, tables, charts, graphs, reports and presentations as required to summarize information.
  • Perform other related duties as assigned.


Education & Experience

  • Bachelor’s degree (or equivalent) in Business Administration or in a field related to the specific program.
  • A a minimum of three (3) years’ recent, related analysis, evaluation and planning experience in a large, complex organization or an equivalent combination of education, training and experience.
  • Experience in distinct areas must be exhibited program evaluation/analysis, project planning/management and technical expertise relating to the specific projects and programs.


Knowledge & Abilities

  • Comprehensive technical expertise, project/process management, evaluation/analytical skills and business acumen.
  • Effectively and accurately responds to the needs of stakeholders and is acutely aware of the impact of decisions and actions on the organization and various stakeholders.
  • Strong verbal and written communication as well as facilitation skills to work effectively in a team setting and with a variety of stakeholders.
  • Ability to identify issues, and to develop and analyze solutions to resolve problems.
  • Demonstrated knowledge of current advanced word processing, graphics presentation, and spreadsheet computer applications to prepare reports and presentations.
  • Results-oriented within a high-pressure working environment with numerous critical timelines.
  • Physical ability to perform the duties of the position.


The hours of work including days off and work area may be subject to change consistent with operational requirements and the provision of the Collective Agreement and applicable statutes. Successful applicants may be required to complete a Criminal Records Review Check.

As per Ministry of Health policy, all health care workers working in publicly-funded health care facilities are required to report their past receipt of certain vaccines or history of certain infections. Collecting these records will allow for offering of any missing vaccines, and for appropriate actions to be taken in the event of any future exposure to a communicable disease or during outbreaks.
