We are looking for a highly organized Administrative Assistant to join our Calgary office. This role blends administration with a strong focus on event coordination. You’ll work closely with departments like People & Culture, the CEO’s office, and Marketing to organize employee engagement activities and corporate events, while also supporting broader administrative functions across the organization.

Key Responsibilities

Event Coordination

  • Organize team-building events, corporate parties, and quarterly townhalls
  • Collaborate with various departments to ensure seamless event execution
  • Take ownership of the fourth-floor event space, managing logistics and setups
  • Drive employee participation and engagement through in-office events

Administration

  • Prepare reports, presentations (PowerPoint decks), and other documents for internal and external use
  • Coordinate travel arrangements for executives and other team members when needed
  • Assist with planning and organizing training sessions for external customers
  • Manage communications and schedules across departments to ensure smooth operations
  • Provide support in coordinating company-wide initiatives and programs
  • Track and report on event and training participation, providing feedback for continuous improvement
  • Support People & Culture with tasks like organizing employee recognition programs and maintaining records

Knowledge, Skills & Experience

Knowledge & Skills

  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint); experience with event management tools is a plus
  • Ability to work independently, with a proactive and detail-oriented approach

Experience

  • 3+ years of experience in an administrative or event coordination role
  • Experience in coordinating events and handling administrative tasks in a corporate environment
