Summary

The Administrative Assistant will perform administrative and divisional support duties including; scheduling, writing correspondence, addressing phone or email requests, creating reports and presentations, completing spreadsheets, tracking report submissions, maintaining filing, organizing and hosting meetings, etc. This role supports Programs and Services with a focus on Youth Services and associated projects.

Description

  • Schedules meetings, distributes agendas, hosts online meetings, and takes minutes
  • Preparing government program cash flows
  • Enter participant details into GCOS

Supports with intake and recruitment as needed

  • Reviews and re-routes emails and calls as needed
  • Assists in organizing, gathering input, and editing report submissions – annual reports, proposals, narratives
  • Conducts polls and organizes/creates online surveys
  • Assists with supplies ordering, monitors project expenses and updates cash flow forecasts
  • Produces tables, charts, graphs and dashboards for reports and presentations
  • Creates PowerPoint presentations including finding/inserting graphics and tables
  • Composes and edits correspondence
  • Reviews and uploads information to internal portals
  • Collects and consolidates sensitive information and distributes information as directed
  • Communicates with management, internal staff and project stakeholders
  • Assists with corporate reception (in-person one day per week)
  • Assists with new project set-up processes, ordering, tracking and site operational issues
  • Other project duties as assigned

Job Qualification

  • Requirements
  • Post-Secondary Education required
  • 3-5 years related experience supporting executive director or leaders in management, preferably in a non-profit organization
  • Highly proficient in Microsoft Outlook and Office (Word, Excel, and Power Point), Adobe Acrobat
  • Familiarity with MS Office Suites and SharePoint an asset
  • Knowledge of GCOS system
  • Experience updating cashflows and consolidating with Detailed Transaction Reports
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Experience using databases and portals an asset
  • Very strong interpersonal skills and the ability to build relationships
  • Expert English writing and verbal communication skills, French or additional languages an asset
  • Strong problem-solving and decision-making capability
  • Highly resourceful team-player, with the ability work well independently as well
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Demonstrated ability to achieve goals and meet deadlines in a fast-paced environment
  • Over 2 years experience in preparing government cash flows and budgets for proposals
  • Familiarity with Budget Detail Template document under YESS funder
