Experior Financial Group Inc. is looking for a motivated Event and Travel Coordinator who works well with others but is also able to work independently and thrive working with multiple tasks on the go. Responsibilities

  • Collaborate and work alongside the events team in planning all company events (Up to 2000+ attendee’s), including virtual and in-person gatherings.
  • Assist in overseeing all travel requirements needed for the company.
  • Drive the company’s mission by always representing our vision in every event.
  • Ensure financial success of events and travel including but not limited to flights and accommodations with effective costing by adhering to budgets set out by leadership.
  • Ensure adherence to all Compliance regulations.
  • Gain a complete understanding of the requirements for each event.
  • Research, evaluate and negotiate with potential vendors.
  • Communicate professionally with guests, speakers, and stakeholders.
  • Gather contracts for review by leadership and communicate logistical requirements of the event with the venue and other vendors.
  • Day-to-day administration of events and programs including placing orders, monitoring vendors, travel planning, reservations, facilitating company attendees, monitoring registration, tracking RSVPs, answering questions, and resolving issues
  • Assist with ticket sales and inquiries for events.
  • Research and compare available travel and hotel accommodations to identify the best available option if travel is needed.
  • Prepare travel itineraries and distribute travel arrangements and schedules to all appropriate staff.
  • Obtain approval from leadership for travel requests and expenses that exceed established budgets.
  • This role will require occasional travel (Canada, USA, and/or Mexico).
  • Perform other related duties as assigned.


Skills and Qualifications

  • 2+ years' experience in event planning and/or travel coordination in a corporate environment.
  • Education in event management, hospitality management, public relations or travel and tourism administration is considered an asset.
  • Track record of creative and successful events
  • Experience working with colleagues in graphic design, sales, and marketing considered an asset.
  • Excellent organizational, communication, negotiation, and multitasking skills
  • Experience working with and following allocated expense budgets for event and/or travel requirements.
  • Experience coordinating travel and event logistics is an asset.
  • Must be highly proficient in Excel.
  • Knowledge of Word, PowerPoint, and Adobe Acrobat.
  • Strong working knowledge of the travel industry considered an asset.
  • Excellent decision-making skills with the ability to assess multiple options and to identify the best choice to serve a specified goal.
  • Willingness to travel and possession of a valid passport.
