Make an impact with our Administration team as an Administrative Assistant. This diverse team of professionals directly contributes to the success of the firm by supporting internal and external clients. As a trusted advisor, you’ll ensure the efficient and effective operation of our business. Please note this is a hybrid opportunity with an in-office commitment of 2-3 days a week.

Responsibilities

  • Support with invoicing, A/R, travel bookings/arrangements, expense reports and ability to adapt to changing priorities
  • Perform a variety of administrative and clerical office support activities, including scanning, printing, photocopying, maintaining electronic and paper filing systems
  • Work collaboratively with other team members and leadership
  • Format, review and assist in the creation of moderately complex templates, letters, PowerPoint presentations, Word documents, Excel workbooks and other correspondence materials
  • Assist in the preparation of regularly scheduled reports
  • Coordinate and assist with internal and external meetings including logistics, AV, catering and preparation of supporting material
  • Assist with team meetings and team event planning, as needed
  • Record minutes at various meetings and distribute or archive them accordingly
  • Possess working knowledge of all systems used by the Administration team to assist with any inquiries and provide backup, as needed
  • Contribute to the development of new ideas and approaches to improve work processes
  • In-office commitment of 2-3 days a week


Skills And Experience

  • Completion of related post-secondary education in administration is an asset
  • 2+ years of administrative experience
  • Experience working in a professional services working environment is an asset
  • Intermediate to advanced skill level with Microsoft Office Suite, specifically; Word, Outlook, PowerPoint & Excel.
  • Excellent organizational and time management skills, with the ability to manage multiple tasks simultaneously all while demonstrating flexibility
  • Displays an image of professionalism, discretion, integrity and tact with strong problem-solving skills, including a proactive resourceful approach to working with team members at all levels
  • Confidence in ability to work in a highly technical, fast paced and ever-changing work environment
  • Flexibility to work overtime when required
  • Some travel may be required
