Your opportunity:

The Office of the Faculty Registrar works closely with departments and colleges regarding all matters relating to Arts & Science students. We are dedicated to making the A&S student experience as smooth and seamless as possible. We coordinate and administer various services and programming to support personal, financial and academic planning, registration and enrolment, student records, transfer credit, petitions, final examinations, and graduation.

As the Petitions & Appeals Specialist, you will play a crucial role in ensuring a fair and transparent process for students. Working under the Associate Director, Petitions and Appeals, your responsibility will be to review and issue decisions on routine petitions submitted by students. This role is vital in maintaining the academic integrity and administrative efficiency of the department.

Your responsibilities will include:

  • Advising on the appropriateness, precedents and process for petitions and appeals, and suggesting alternative course of action as necessary
  • Keeping well-informed on University programs, policies and procedures
  • Advising contacts on the interpretation of petitions and/or appeals rules and policies
  • Assessing petitions and/or appeals and determining which claim(s) can be resolved immediately and which requires committee review
  • Providing detailed information to committee members on petition and/or appeal rules, guidelines and procedures
  • Facilitating educational workshops and seminars
  • Collating briefing package materials for meetings
  • Resolving issues within the scope of the role and escalating problems to the Associate Director as required

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum four (4) years of recent and related experience in an academic administration environment with specific experience administering academic petitions and appeals.
  • Experience working collaboratively with instructors/faculty, and senior/peer administrators to achieve excellence in service, especially student service and academic support.
  • Experience reviewing and assessing academic petitions and appeals.
  • Experience interpreting and applying academic policies, regulations, and procedures with knowledge of petition and appeal guidelines, and best practices.
  • Demonstrated experience developing written resources and conducting presentations to a diverse audience regarding educational/academic issues an asset.
  • Experience advising students on petitions and appeals related matters.
  • Strong experience with data management and reporting.
  • Demonstrated experience in preparing documentation for review by committees and groups.
  • Proficiency in student database systems such as ROSI, ACORN, Degree Explorer, E-marks or similar student information database system systems such as ROSI, ACORN, Degree Explorer, E-marks or similar student information database systems.
  • Demonstrated knowledge of FIPPA (Freedom of Information and Protection of Privacy Act).
  • Excellent interpersonal skills with an ability to collaborate effectively with staff and faculty members.
  • Ability to manage multiple responsibilities simultaneously.
  • Strong organizational and time-management skills.
  • Excellent and anticipatory problem-solving skills.
  • Aptitude for forward thinking, to anticipate future challenges, while generating ideas for change and improving of business processes.
  • Superior ability to work independently with minimal supervision on matters requiring tact, discretion, and judgment.
  • Ability to deal courteously, professionally and effectively with a diverse University staff.

USW Pay Band 12 -- $79,874. with an annual step progression to a maximum of $102,147. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
