Description

Our non-profit client based in Downtown Vancouver is currently seeking an organized and proactive Office Coordinator. The successful candidate will play a crucial role in supporting the operational needs of the COO and Senior Leadership Team, ensuring operations are efficiently and effectively executed.

Responsibilities

  • Support the COO and Senior Leadership Team's daily needs including coordinating and planning meetings and event logistics, drafting meeting minutes, preparing follow-up deliverables, and maintaining accurate data in the relationship management databas
  • Manage human resource duties including the hiring process completion, onboarding new hires and maintaining employee records
  • Compose and/or edit a variety of documents such as confidential correspondence, memoranda, agreements and proposals
  • Manage inquiry email accounts and support website updates
  • Maintain the company filing system, filing and retrieving documents, records and reports
  • Manage stakeholder database to assist fundraising initiatives and prospect management

Requirements

Qualifications:

  • Post-Secondary degree preferred
  • 3-5 years of experience in a similar role
  • Proven ability to maintain composed when handling complex issues with sudden changes and competing priorities
  • Strong organizational and administrative skills, capability to work independently with minimal direction
  • Professional and pleasant demeanor when communicating with all types of personalities
  • Demonstrable ability to handle sensitive and/or confidential matters with discretion
  • Meticulous attention to follow-up detail
  • Excellent judgment and problem-solving skills
  • Proactive, able to anticipate needs and to mitigate issues
  • Extensive technical skills with Office products and Google Suite
  • Exceptional flexibility and adaptability to an ever-changing work environment
  • Excellent English language skills (written and oral)
