We are currently recruiting for an Administrator to join the Total Portfolio Risk & Analytics group within the Risk department. Reporting to the Managing Director, Total Portfolio Risk Analytics, the Administrator will be responsible for providing day-to-day administrative and project coordination support to the Total Portfolio Risk & Analytics Team. This dual-function role combines proactive executive support with structured oversight of project initiatives.

Role-specific Accountabilities:

Executive Assistant Accountabilities: 

-Provide general administrative support, including managing executive calendars, scheduling meetings, and ensuring timely follow-up on key tasks and deliverables. 

-Coordinate travel arrangements and manage expense reports. 

-Collaborate with other executive assistants and teams across the department and organization to increase efficiencies and provide overall departmental support. 

-Administer the onboarding of new vendors and manage vendor invoice processing. 

-Assist with the onboarding of new staff joining the team. 

-Support other Risk executive assistants and administrative assistants with event planning, coordination, and the monthly department newsletter. 

-Manage the team's SharePoint page. 

-Handle highly sensitive and confidential matters related to the department's and organization's daily activities.

 

Project Coordinator Accountabilities: 

-Organize and schedule project-related meetings, prepare agendas, and follow up on action items. (with support from admin team and project leads) 

-Facilitate regular check-ins and stand-up meetings with the team to discuss progress, address concerns, and ensure alignment with project objectives. 

-Track the status of project tasks and milestones to ensure timely completion, share consistent updates on project progress with the team and stakeholders, highlighting completed tasks, upcoming milestones, and any blockers. 

-Maintain project documentation, including developing a project plan (with assistance from the project team), taking meeting notes, and distributing them to the project team. 

-Track open action items and work with the project team to determine closure dates.  

-Contribute to the development of project materials, including assisting with formatting/design (with support from project team)

 



-College diploma or undergraduate degree is required. 

-5-7 years of experience in executive support, with at least 2 years in a project coordination role. 

-Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and Adobe, with a willingness to learn new applications.

-Demonstrated ability to adapt quickly to new tools and applications, with a strong willingness to continuously learn. 

-Proven attention to accuracy and detail, highly organized with the ability to prioritize and multi-task. 

-Exceptional (written and verbal) communication skills and interpersonal skills. 

-This role requires strong communication skills to effectively interact across teams. The ability to convey information clearly, manage expectations, and facilitate alignment is essential for both executive support and project coordination. This requires regular communication with Executive Assistants across the Fund and within project teams.

-Experience in risk management and mitigation strategies to address potential project delays or issues. 

-Ability to develop and manage project documentation, including project charters, status reports, and post-project evaluations. 

-Ability to identify challenges and develop effective solutions.

-Extremely motivated, eager to learn, adaptable, calm under pressure and professional. 

-Proven ability to work independently as well as to perform effectively in a team-oriented and open-concept environment. 

-Ability to work in a high performing culture, under pressure and with time-sensitive deadlines
